Job Description

I. Roles Summary / Purpose:

Responsible for supervising daily operational activities, including with forecasting, import-export, monitoring inventory levels, contributing to operational excellence and fulfillment processes, identifying operational risks, and supporting continuous improvement initiatives. This role plays a key part in ensuring smooth operations and helping achieve the company's business goals.

  • Line reporting: This position reports directly to the Regional General Manager.
  • Line subordinates: This position will directly manage and supervise two staff members—one permanent employee and one intern.
  • Work location: VN HCM Office – Floor 1, Floor 2, DaiMinh Convention, 77 Hoang Van Thai, Tan My Ward, Ho Chi Minh City, Vietnam

II. Responsibilities:

1. Demand Forecasting & Inventory Management

  • Lead demand forecasting in alignment with Sales, E-commerce, and Marketing teams to optimize procurement and inventory planning.
  • Monitor purchase orders and delivery schedules to ensure timely replenishment and minimize out-of-stock (OOS) risks.
  • Coordinate with warehouse teams on inventory reconciliation, stock accuracy, and inventory reporting.
  • Monitor inventory turnover and identify discrepancies or slow-moving stock for timely resolution

2. Customs, Regulatory Affairs & Product Compliance Management

  • Oversee customs clearance activities and ensure compliance with applicable import-export regulations to minimize risks and delays.
  • Manage required customs and product compliance documentation, including product declarations, HS codes, secondary labels, and registration files.
  • Coordinate product quality inspection, product declaration, labeling, and other regulatory requirements with relevant internal teams and external parties.
  • Ensure timely and compliant submission of required documents to relevant authorities.

3. Logistics & 3PL Management

  • Supervise import-export shipment schedules with suppliers, freight forwarders, and customs to ensure timely delivery and proper documentation.
  • Evaluate, negotiate, and manage 3PL vendors to optimize logistics costs and service levels for both B2B and B2C fulfillment.
  • Monitor warehouse efficiency and fulfillment performance against agreed service level agreements (SLAs).
  • Track and analyze inventory accuracy, turnover rates, and promptly control discrepancies.
  • Prepare regular operational and ad-hoc reports and track key supply chain KPIs for management review.

4. Operational Excellence & Fulfillment

  • Supervise the end-to-end order fulfillment process, including order processing, picking, packing, and last-mile delivery.
  • Analyze operating costs (e.g., cost per order) and propose cost-saving initiatives.
  • Identify operational risks and propose mitigation plans to ensure business continuity and stability.
  • Drive continuous improvement initiatives to enhance operational efficiency, service quality, and cost effectiveness.
  • Perform other duties and responsibilities as assigned by management.

III. Requirements:

  • Bachelor's degree in business administration, Supply Chain, Logistics, or related field.
  • Minimum 5 years of experience in Supply Chain role with scopes included Operations, Logistics, Order fulfillment, Regulatory Affairs, etc.
  • Strong analytical and forecasting skills with proficiency in Excel, warehouse/ inventory management software.
  • Proven ability to collaborate effectively with Sales, Marketing, and Warehouse teams.
  • Excellent time management, organizational skills, and adaptability in handling operational challenges.
  • Detail-oriented with the ability to identify and resolve data discrepancies promptly.
  • Good leadership, communication skills, proactive work attitude, and ability to work under pressure.
  • Understanding of import, product registration processes, and regulations, including compliance with secondary labeling (stickers) and product declaration documentation
  • Experience working in FMCG, Mom & Baby, Personal Care, or related industries are a strong advantage.
