Company: Olympus Medical Systems Vietnam Co., Ltd (OVN)

OLYMPUS MEDICAL SYSTEMS VIETNAM CO., LTD is a subsidiary of OLYMPUS CORPORATION, one of the Japanese leading manufacturers for medical field. Along with our business expansion in Vietnam, we are looking for suitable, qualified candidates for the following positions at our offices in Ho Chi Minh City.

Primary Purpose

Ensure SCM activities to run smoothly and effectively, targeting at 3 key dimensions:

  • Sales/Purchasing Support: Proactively order management and follow up, support to ensure Genpact consistent performance
  • SAP/Master Data key user: support to solve any issue within SAP system and play an important role in SAP function improvement
  • Contribute to develop process improvement to increase SCM performance

Key Accountabilities

1. Sales Support:

  • Monitor Genpact to receive sales order request from business team and validate information before creating contract
  • Monitor Genpact to create and manage sales order on SAP
  • Monitor contract signed off from both OVN and dealers
  • Monitor Genpact how to coordinate with Finance and dealers to complete advance payment
  • Make price quotation once receiving all documents
  • Proactively manage Genpact how to create delivery note for goods issuing
  • Prepare documents requires for selling/tender purpose.

2. Purchasing Management:

  • Monitor Genpact how to check current stock status before placing PO: contract order, advanced order
  • Monitor Genpact how to get confirmation from business team about final quantity before placing PO
  • Monitor Genpact how to create PO on SAP and EDI to vendors
  • Coordinate with WS to place spare part PO
  • Coordinate with business team (sales, marketing) to place asset PO or external PO
  • Manage local purchase and payment to domestic vendors.

3. Inventory Management:

  • Monitor Genpact how to update daily inventory & sales order report to business team
  • Implement an efficient stock allocation management to maximum utilize stock on hand.

4. Reporting:

  • Implement Monthly SO & PO Reports
  • Monitor Genpact implement Weekly & monthly Delivery Plan Report
  • Monitor Genpact implement weekly & monthly Advance Payment Report
  • Review and update weekly Genpact Performance report and propose solving solutions

5. System and Master Data:

  • Monitor Genpact to manage master data on SAP
  • Prepare OVN SAP user guide for principal functions
  • Evaluate and Improve SAP system
  • Complete Master Data for FG and SP
  • Ensure SAP Master Data List updated to date

6. Business Support:

Support and arrange the sets of goods documents to sales team as requested: invoice, declaration form, CO, CQ, PL, etc.

7. Others:

Other tasks assigned by Department Manager

Inherent Requirements

Formal Qualifications

  • Bachelor's Degree or above

Key Skills / Core Competencies

  • Skills: PDCA skill, Communication skill, Teamwork skill.
  • Fluently speaking in English (TOEIC 650)
  • Computer's skill (Word, Excel, PPT)

Experience

  • At least 1 year working experience in End-to-end Supply Chain
  • Experienced in customer service, order management, or a similar operational role is preferred.
