Why this role exists

Premium chilled and frozen food is a business with two failure modes that pull in opposite directions. A shipment that arrives two weeks late costs us a customer. A line that sits two months too long costs us the margin on the whole shipment. Doing well at one of these is straightforward; Doing well both at the same time is the job.

This role owns the upstream half of our chain end to end: what we buy and how much of it, and getting it into Vietnam legally, on time and at the lowest defensible landed cost. Warehousing, cold storage and last-mile delivery sit with Operations — the two functions are tightly coupled and you will work with them daily, but the accountability line is clear.

You will sit on the leadership team and report directly to the General Manager.

What you will own

Demand planning and inventory

• Build and own a rolling demand forecast across the full range, by SKU and by channel, and own its accuracy as a measured number.

• Set and maintain replenishment parameters — safety stock, reorder points, order quantities, lead times — differentiated by SKU class rather than applied as a single blanket rule.

• Own inventory health: weeks of coverage, shelf-life and aging exposure, slow movers, and the clearance decisions that follow, jointly with Sales.

• Run a monthly S&OP cycle with Sales, Finance and Operations: own the demand review and the supply response.

Procurement and supplier management

• Place and manage purchase orders with group suppliers in Australia and third-party suppliers in Europe, New Zealand and Asia.

• Manage supplier lead times, allocations, order confirmations and shipping schedules; escalate early when a plan is slipping.

• Manage forwarders and freight: rate negotiation, container consolidation, routing and schedule reliability.

• Maintain landed cost by SKU — and make it visible and current for pricing decisions.

Import, customs and regulatory compliance

• Own customs clearance end to end: HS classification, valuation, declarations and the national single-window portal.

• Own quarantine registration and health certificate documentation for products of animal origin, and the relationship with the relevant authorities.

• Own product and brand registration: food safety self-declaration under Decree 15/2018/ND-CP, and label compliance under Decree 43/2017/ND-CP as amended by Decree 111/2021/ND-CP, including our supplementary label standard.

• Maximize preferential duty through correct origin documentation — AANZFTA, RCEP, CPTPP, EVFTA, ATIGA — secured at order time rather than chased at arrival.

• Keep the compliance file complete and audit-ready: permits, approved establishments, certificates, declarations.

• Set and verify cold chain requirements on inbound shipments — temperature standards, container specification, and what happens when a reefer fails.

Systems, data, and processes

• Own supply chain master data in our ERP (Exact) and the integrity of what it reports.

• Produce a monthly supply chain report to the GM and the group: service level, inventory position and aging, landed cost movement, duty utilisation, clearance lead time.

• Document the function: SOPs, supplier and document checklists, and a clean handover interface with the warehouse.

Leadership

• Lead and develop the purchasing and import team, and build the structure needed as we grow.

• Contribute as a member of the leadership team to commercial, pricing and expansion decisions.

Who we are looking for - Profile

Clear

• 5+ years in supply chain within food or FMCG import and distribution in Vietnam, including at least 2 years leading a team.

• Hands-on, demonstrable experience importing chilled and frozen products of animal origin into Vietnam: quarantine, health certificates, self-declaration, customs clearance.

• Genuine numeracy. You can build a forecast model and a landed cost model yourself, not just read one someone else built.

• Working experience with an ERP and with the discipline of clean master data.

• Fluent Vietnamese and professional working English.

• At least one improvement you personally delivered and measured — a service level, an inventory turn, a duty saving. Bring the number and be ready to explain how it was calculated.

Preferred

Frozen protein or cold chain specifically.

• Preferential origin documentation on the import side.

• Multi-site or multi-branch replenishment.

• CPIM, CSCP or equivalent certification.

  • Not required: a supply chain or logistics degree. We care what you have run.
