Job Description

1. Purchase Order & Import Planning (Domestic & International)

  • Coordinate with Planning and Business teams to prepare and issue purchase orders (POs)
  • Track production progress, packing schedules, and vessel/flight schedules from suppliers
  • Control import lead time to ensure on-time arrival according to committed plans

2. Customs Clearance & Import Procedures

  • Prepare, review, and handle all required import documentation, including:
  • Sales Contract, Commercial Invoice, Packing List
  • Certificate of Origin (CO), Certificate of Quality (CQ), MSDS, Test Reports (if applicable)
  • HS codes, customs value declaration, import duties, and VAT
  • Work directly with forwarders, 3PLs, and customs brokers to:
  • Ensure accurate, complete, and timely customs declarations
  • Handle green/yellow/red channels and physical inspections when required
  • Coordinate with relevant authorities such as Customs and specialized inspection agencies (if any)
  • Proactively resolve issues arising during customs clearance, including incorrect HS codes, missing documents, delayed clearance, and unplanned costs

3. Transportation & Warehousing

  • Monitor international and domestic transportation after customs clearance
  • Coordinate with warehouses to arrange goods receiving and reconcile quantities and documentation
  • Ensure goods are delivered to warehouses in correct quantity and condition

4. Cost Control & Import Efficiency

  • Track and control import-related costs, including freight, customs clearance, trucking, and local charges
  • Compare quotations and propose cost-optimization solutions for logistics and customs clearance
  • Report on import lead time, costs, and potential risks throughout the import process

5. Documentation Management & Compliance

  • Maintain and archive import documentation in compliance with regulations
  • Ensure compliance with Vietnamese laws and regulations on import/export and customs
  • Stay updated on changes in tax policies, customs regulations, and specialized inspection requirements

Job Requirements

  • College or University degree in Logistics, Supply Chain, ImportExport, Economics, Commerce, or related fields
  • Minimum 34 years of experience in import operations and customs clearance
  • Hands-on experience working directly with forwarders, 3PLs, and customs brokers
  • Conversational Chinese proficiency
  • Solid understanding of import procedures in Vietnam
  • Good knowledge of HS codes, import duties, and VAT

Required Skills

  • Strong follow-up and lead-time management skills
  • Ability to resolve issues quickly and effectively
  • Good communication and coordination skills across internal teams and external partners
  • High attention to detail and accuracy in documentation handling

Nice to Have

  • Experience in FMCG / Beauty / Retail / E-commerce industries
  • Previous experience handling specialized inspections
  • Knowledge of Incoterms and shipping terms (FOB, CIF, DDP, etc.)
