Primary Duties & Responsibilities
Compliance
- Understand clearly License in connection to company requirements.
- Propose the amendments when needed due to changes in demand.
- Work closely with planning, Procurement and Production to ensure materials, consumables, spare parts and machinery are in-line with the needs
- Submit C/O or other license related to import export process.
Import-Export process management, customs and related reports
- The process is documented clearly, and documents record be kept compliance with Company policy
- Ensure actual import and export match with plan.
- Be regularly updated and clearly understanding any new circulars/information related to Customs matters.
- Submit relevant reports to Ministry of Trade and Commerce, Customs or other related government office timely.
- Reporting of raw material import and shipment during the months should be accurate and submitted on time as per deadline set by the relevant authorities.
- Do tax report on discrepancy between customs record and physical inventory on time
- Check, instruct and train relative partners to follow right import/export process in first time such as RG, RGO, COP & CFM
Plan shipment (inbound and outbound)
- Ensure shipping docs compliance with Customs regulation
- Work out accurate timeline for planning import.
- Ensure that shipment information is accurate and provided by related department as well as forwarders on a timely basis.
- Work with forwarders to ensure that all inbound and outbound shipments are done efficiently with cost effective.
- Cooperate with other sections to meet customers satisfaction.
Relations
- Inform, explain, circulate and train to all staff, team and all relevant II-VI subsidiaries any new policy circulars issued by Customs as well as forwarder update and corporate policy
- Co-ordinate with other Departments to follow the procedure of import and export exactly and on time for submission.
- Teambuilding: develop a cohesive work group, facilitate commitment and enthusiasm in supporting the Company; and assures cooperation and rapport among inter departments.
Education & Experience
- Bachelor's degree in business, international trade, or related field.
- 2+ years of experience in import/export operations or a similar role in manufacturing company.
Skills
- Have integrity, is independent, self motivated, accurate and able to lead and manage a team of accounts assistants.
- Numeric, have effective oral and written communication skills in English and Vietnamese and good interpersonal skills.
- Good working knowledge of standard computer software and ERP systems.
- In-depth knowledge of import/export regulations and compliance requirements.
- Strong organizational and time management skills

Depending on location, this position may be responsible for the execution and maintenance of the ISO 9000, 9001, 14001 and/or other applicable standards that may apply to the relevant roles and responsibilities within the Quality Management System and Environmental Management System.
