Job Description

PURPOSE OF THE ROLE

Effectively execute all procurement and sourcing activities for brands specializing in jewelry, gold, silver, gemstones, men's/women's fashion accessories, or art gifts. This includes ensuring product quality, timely delivery, and cost control aligned with product development requirements and the Company's business strategy.

RESPONSIBILITIES

1. Procurement management

  • Receive product plan information and purchase requests from the Design and Product departments.
  • Send Request for Quotation (RFQ) to suppliers according to specified designs and technical requirements.
  • Consolidate, analyze, and compare quotations; negotiate price and payment terms; optimize procurement costs, and recommend suitable suppliers.
  • Monitor suppliers production and delivery progress.
  • Inspect and confirm the status of goods before and after delivery receipt.
  • Record, negotiate, and promptly address pricing and product-related issues (incorrect model, quality defects, etc.).

2. Supplier Relationship Management

  • Track supplier on-time delivery (OTD) performance and quality compliance rates.
  • Record and summarize internal feedback on suppliers (design, quality, cooperation, etc.).
  • Organize periodic meetings or direct discussions with suppliers regarding improvement initiatives.
  • Support in reviewing cooperation terms, pricing policies, and payment terms (if changes occur).
  • Participate in periodic supplier performance evaluations based on company criteria (efficiency, quality, pricing, response capability, etc.).

3. New Supplier Sourcing

  • Proactively source and approach potential suppliers through various channels: trade fairs, exhibitions, referrals, and industry networks.
  • Collect supplier capability information, acquire test samples, and organize preliminary assessments.
  • Collaborate with relevant departments to evaluate test samples for technical feasibility, aesthetics, and cost-effectiveness.
  • Consolidate evaluations and submit to authorized levels for inclusion in the potential supplier list.
  • Monitor the first batch trial and provide post-initial-cooperation evaluation.

4. Internal Collaboration & Product Development Support

  • Serve as the focal point for coordination with Design, Product, and Quality Control (QC) during the sampling and production approval stages.
  • Assist in reviewing technical information and verifying the feasibility of samples before placing purchase orders.
  • Provide information related to materials, lead time, and cost to the Product department for production planning.
  • Coordinate with QC in handling defective goods or those not meeting standards in received shipments.
  • Participate in incoming quality inspection as required.

5. Organizing Supplier Knowledge Sharing Sessions

  • Proactively propose and coordinate sessions to share new trends, technology, and materials from suppliers.
  • Invite relevant departments such as Design, Product, Marketing, and QC to attend.
  • Record useful information and propose its application in product development.
  • Track the level of practical adoption after the sharing sessions.

6. Cost Tracking & Data Analysis Support

  • Update purchase prices and orders in the assigned template or system.
  • Monitor material/component price fluctuations and promptly report any impact on product cost.
  • Support the provision of purchasing data for periodic or ad-hoc analysis requested by management.
  • Coordinate with relevant departments (if any) to finalize data for supply cost management.

7. Other tasks as assigned by the superior.

REQUIREMENTS

Education

  • Bachelor's degree or higher in Supply Chain Management, Business Administration, or related fields.
  • Language Proficiency: Fluent in English (Proficiency in Chinese is an advantage).

Experience

  • Minimum 6 years of experience in sourcing or supply chain management, preferably with experience in jewelry, gold, silver, gemstones, men's/women's fashion accessories, gifts, fine arts, or related sectors.

Competencies & Skills

  • Strong ability in cost analysis, supplier evaluation, and negotiation.
  • Excellent collaboration skills, clear communication, and quick problem-solving ability.
  • Market acumen and an aesthetic sense suitable for the lifestyle/ jewelry's brand.
  • Proactive work attitude, high sense of responsibility, and ability to handle deadline pressure.
  • Proficient in using Excel, Google Sheets, and enterprise systems.

Other requirements:

Detailed-oriented, meticulous, capable of working independently, and able to work well under pressure.
