JOB PURPOSE
The Senior Vendor Management Specialist acts as an independent partnering focal point for the extended workforce ecosystem, ensuring effective coordination, transparent feedback flow, and operational readiness across all resource types (vendors, freelancers, outsourced groups).
This role strengthens governance, engagement, and performance consistency without direct line management authority, operating through influence, coordination, and structured communication.
JOB DUTIES
Execute any or all of the following responsibilities as directed and allocated by the superior and/or manager
1. Workforce Readiness
- Ensure full onboarding readiness (system access, documentation, workflow alignment, training completion) before and during go-live for all resource types.
-Coordinate vendor onboarding for new partners and upsell expansion of existing vendors.
- Manage contractual procedures including pricing negotiation and commercial clarification.
- Ensure pricing transparency and alignment with approved workforce cost framework.
- Validate vendor capability readiness before operational deployment.
2. Workforce Coordination & Performance Visibility
- Act as the primary coordination focal point between production and external workforce.
- Maintain structured visibility on utilization, productivity, and quality performance.
- Monitor work allocation flow and flag bottlenecks or misalignment across resource types.
- Support optimization of external workforce deployment.
3. Feedback Governance & Engagement
- Serve as a neutral and trusted communication channel for external workforce.
- Establish and maintain a structured two-way feedback loop.
- Identify early engagement or retention risks.
- Escalate concerns related to pricing clarity, workload fairness, or process gaps.
- Support consistency in governance and communication standards.
Others related tasks related to Workforce management as assigned by Head of Department
COMPETENCY REQUIREMENTS
Education
- Bachelor's degree in Business Administration, Human Resources, Operations Management, Supply Chain, or related fields.
Professional knowledge
- Solid understanding of extended workforce models (vendors, freelancers, outsourced teams, part-time workforce).
- Knowledge of contractual procedures and commercial terms, including pricing negotiation principles.
- Strong understanding of Esoft products and process.
Supplementary knowledge
- Familiarity with workforce cost structures and basic financial impact analysis.
- Understanding of onboarding frameworks, governance standards, and performance tracking systems.

Experience/
- Minimum 46 years of experience in workforce coordination, vendor management, outsourcing operations, or similar roles.
- Experience working across production and external resource ecosystems is preferred.
