ABOUT NOVOBI
Since 2008, Novobi has supported over 200 U.S. companies in their digital transformation journey. Recognized as an Inc. 5000 fastest-growing private company for three consecutive years , we foster a culture of innovation, collaboration, and excellence across our global team in the US and Vietnam. Joining Novobi means being part of a global team, making meaningful impacts, and achieving your full potential.
ABOUT THE ROLE
Novobi is looking for an IT Operations Engineer to join our DevOps team. This is a hands-on role that owns the day-to-day running and documentation of our internal technology environment — endpoint management, identity and access, SaaS support, and, most importantly, the Standard Operating Procedures (SOPs) that keep everything consistent and auditable.
Working alongside the DevOps team, you will also take part in system administration and light automation, so a solid working foundation in Linux and scripting is part of the role. Your core focus, however, is IT Operations: keeping the environment stable, secure, and well documented.
We are looking for someone who can quickly absorb how Novobi already works, turn that knowledge into clear documented procedures, and — just as importantly — build IT operations and SOPs from the ground up for environments that have nothing in place yet. You do not need to be a senior specialist; you need to be systematic, curious, and genuinely good at turning how we do things into repeatable, documented processes.
KEY RESPONSIBILITIES
1. IT Operations & SOP Development
This is the core of the role: owning and documenting how IT operations run.
- Learn and internalize Novobi's existing IT operational processes, then convert that knowledge into clear, documented SOPs, runbooks, and operational checklists.
- Build IT operations and documentation from scratch where none exists — standing up procedures, baselines, and workflows for new environments or teams.
- Standardize onboarding and offboarding workflows in coordination with HR and Team Managers to ensure timely access provisioning and revocation.
- Administer the company's SaaS ecosystem at an operational level, including Google Workspace, project management platforms, and other internal business applications.
- Manage identity and access across SaaS platforms using MFA and SSO for a secure, unified login experience.
- Use MDM (Mobile Device Management) tools to manage configurations, security baselines, and the full lifecycle of endpoints such as laptops and tablets.
- Resolve technical issues related to operating systems, software, and connectivity (VPN, Wi-Fi) for both office-based and remote employees.
- Maintain IT asset lifecycle records and enforce periodic security controls, keeping access and device logs as evidence for internal and external audits (ISO 27001-aligned).
- Keep all IT activities documented to maintain clear audit trails.
2.System Administration & DevOps Collaboration
- Collaborate with the DevOps team on system administration tasks and platform-level escalations.
- Perform Linux system administration — users, permissions, services, logs, and basic troubleshooting.
- Write and maintain Bash shell scripts to automate routine operational tasks.
- Use Python for light automation and internal tooling that supports IT and DevOps workflows.
DETAILED REQUIREMENTS
1. Technical Skills
- Proven experience as a System Engineer / System Administrator in a corporate IT environment.
- Strong ability to design IT workflows and draft clear, professional SOPs, policy documentation, and user guides — the single most important skill for this role.
- Proficiency administering Windows and macOS environments together with MDM solutions.
- Experience implementing security solutions, including disk encryption, EDR/Antivirus, and MFA policies.
- Solid understanding of IT Asset Lifecycle management, from procurement to secure disposal.
- Working knowledge of identity and access management (MFA, SSO) across SaaS platforms.
- Working knowledge of Linux system administration and comfort in a command-line environment.
- Ability to write Bash shell scripts and basic Python for task automation.
- Familiarity with IT governance and security standards such as ISO 27001 is a plus.
2. Language & Communication
➢ Fluent in English with the ability to present technical solutions and discuss directly with US-based management.
➢ IELTS certificate from 6.5 (or equivalent) is a strong plus.
➢ Ability to work flexibly and manage tasks effectively across different time zones between Vietnam and the US.
3. Mindset & Attributes
- A systematic thinker who naturally turns processes into documentation and documentation into repeatable procedures.
- Able to learn quickly, absorb an organization's way of working, and rebuild it as clear knowledge that others can follow.
- Comfortable building structure from a blank page — creating SOPs and operations where nothing exists yet.
- Proactive about researching and adopting new technologies such as AI tools and automation.
- High level of integrity and responsibility regarding data security and access.
- Adaptable and thrives in a fast-paced, dynamic environment.
