SENIOR IMPORT – EXPORT SPECIALIST
1. General Information
- Position: Senior Import – Export Specialist
- Department: Import – Export
- Working Location: Linh Trung II Export Processing Zone, Ho Chi Minh City
- Reports To: Import Export Manager
2. Job Purpose
To manage and control all import-export activities of the export processing enterprise (EPE), ensuring shipments are handled efficiently, compliantly, and on schedule. The position is responsible for customs procedures, import-export documentation, customs/tax finalization reports, regulatory compliance, and logistics cost optimization to support factory operations and shipment schedules.
3. Key Responsibilities
Import – Export Operations
- Handle and control import-export processes for raw materials, machinery, equipment, and finished goods.
- Prepare, review, and process import-export documents including Invoice, Packing List, Bill of Lading, Certificate of Origin (C/O), customs declarations, and sales contracts.
- Monitor customs clearance progress and resolve issues related to customs authorities, forwarders, and shipping lines.
- Ensure appropriate import-export regimes are applied in accordance with Export Processing Enterprise (EPE) regulations.
- Ensure customs declarations are accurate and compliant with legal requirements while minimizing operational risks and additional costs.
Customs Finalization & Compliance
- Prepare and manage customs finalization reports and tax settlement reports in compliance with EPE regulations.
- Monitor import-export-inventory data of raw materials and finished goods for customs finalization purposes.
- Review production BOM/consumption norms and reconcile discrepancies when required.
- Work directly with customs authorities during audits, inspections, and data clarification processes.
- Regularly update and monitor new laws, decrees, circulars, and regulations related to customs, taxation, import-export activities, and EPE operations.
- Assess the impact of new regulations on company operations and propose appropriate implementation plans.
- Proactively identify compliance risks and recommend process improvements to minimize errors in import-export operations.
Logistics & Coordination
- Coordinate with forwarders, shipping lines, transportation providers, and related authorities.
- Monitor and control logistics costs including freight, warehousing, and container detention/demurrage charges.
- Propose solutions to optimize logistics costs and delivery lead time.
- Ensure delivery schedules support production plans and shipment timelines.
Internal Coordination
- Collaborate with Warehouse, Purchasing, Accounting, and Production departments to ensure operational accuracy and data consistency.
- Reconcile inventory and raw material data for customs finalization and internal audit purposes.
- Support process improvement initiatives to enhance import-export operational efficiency.
4. Job Requirements
- Bachelor's degree or College degree in Import-Export, Logistics, International Business, Foreign Trade, or related fields.
- Minimum 3–5 years of experience in import-export operations, preferably in an Export Processing Enterprise (EPE).
- Strong knowledge of customs procedures, INCOTERMS, international trade, and EPE regulations.
- Hands-on experience in customs finalization reports and tax settlement reporting.
- Proficient in customs declaration systems such as ECUS/VNACCS or related software.
- Strong analytical skills with the ability to reconcile inventory discrepancies and customs-related data.
- Ability to update, analyze, and apply new regulations related to customs, taxation, and import-export activities.
- Strong problem-solving, coordination, and multitasking skills.
