About the role
As a multinational organization with a globally mobile workforce, we support employees working across borders. We are looking for a Senior Global Mobility Specialist to own all immigration and mobility matters across this footprint - including long-term relocations, secondments, work permits, and short-term business travel - advising the HR team and employees while ensuring compliance in every market we operate in.
What you will do
Advisory & Guidance
- Provide legal and strategic guidance to the HR team on immigration and relocation matters across all our legal entities globally, including cross-border relocations between any two entities.
- Advise employees on business travel and relocation immigration requirements, counsel on processes, and serve as the main point of contact for mobility-related questions.
- Provide clear guidance on reimbursement processes and required proof of expenses for relocation-related costs.
- Apply immigration expertise to provide solution-based guidance on complex or non-standard immigration cases.
Case Execution & Vendor Management
- Own the end-to-end process for visas, work permits, secondments, Temporary Residence Cards (TRC), and business travel immigration requirements - analyzing case requirements, preparing documentation, and coordinating with external immigration vendors/law firms to ensure accurate and timely submission and approval.
- Handle escalations appropriately, determine the right course of action, and guide stakeholders to timely resolution.
- Coordinate with Employer of Record (EOR) providers to support visa/work permit sponsorship and mobility cases in markets where we operate through EOR.
Compliance Monitoring
- Monitor and manage immigration compliance across all cross-border relocation, secondment, work permit, TRC, and business travel cases, ensuring they meet regulatory requirements in each relevant country.
- Independently track and interpret changes in immigration law, ensuring the organization remains compliant, and maintain accurate internal documentation.
Process Improvement & Program Building
- Proactively improve mobility processes through automation, standardization, and documentation.
- Support the development of an in-house global mobility program - establishing processes, documentation, and vendor management practices - to improve efficiency, cost-effectiveness, and employee experience.
What you bring
- Proven experience in global mobility, immigration compliance, or a similar role, with hands-on experience across the full spectrum of mobility case types - business travel, relocation, immigration, visa, work permits, Temporary Residence Cards (TRC), and coordination with Employer of Record (EOR) providers.
- 5+ years of relevant experience, including handling mobility and immigration matters (visa, work permit, TRC, relocation, business travel) across multiple countries.
- Strong knowledge of immigration regulations and processes, with the ability to quickly research and apply requirements across multiple countries. Solid, hands-on knowledge of Vietnamese immigration and labor law is required.
- Awareness of the payroll and tax impact of cross-border work, as well as benefits changes across locations.
- Good English proficiency (written and spoken) to collaborate with HR teams and stakeholders across entities.
- Strong analytical and problem-solving skills, with the ability to handle complex or ambiguous immigration cases independently.
- Experience managing external vendors/law firms for immigration services.
- Excellent stakeholder management and communication skills, comfortable advising HR teams and employees across different countries.
- Detail-oriented, with strong documentation and process-management skills.
Nice to have
- Experience building or scaling an in-house immigration/mobility function.
- Experience with mobility/immigration case management tools or systems.
