JOB PURPOSE
Own the day-to-day tracking, coordination, and administration of the appointed MSI contract on behalf of the client/PM team. Sits alongside the ICT Interface/Compliance Manager and steering committee Engineer (who controls technical conformance) but is focused on contractual, schedule, and coordination management of the MSI as an entity — deliverables, milestones, submittals, meetings, and communication flow — rather than technical design review itself. Acts as the client's operational point of contact for all things MSI, keeping the Delivery Manager informed of progress, blockers, and commercial/contractual exposure.
KEY ACCOUNTABILITIES
1.MSI Deliverable & Milestone Tracking
• Maintain a master tracker of all Master Systems Integrator (MSI) contractual deliverables (design packages, submittals, test plans, reports, as-builts) against agreed due dates
• Monitor MSI progress against the contract programme (P6-aligned); flag slippage early and quantify schedule impact
• Track outstanding actions from meetings, RFIs, and correspondence to closure, chasing the MSI where response times lapse
2.Contract & Submittal Administration
• Log, distribute, and track all MSI submittals (technical, commercial, programme) through the review/approval workflow, ensuring the right internal/client stakeholders review within SLA
• Maintain the official submittal register, transmittal log, and correspondence log for the MSI contract
• Track MSI invoicing/payment milestones against completed and verified deliverables, flagging discrepancies to the Delivery Manager and commercial team
3. Meeting & Communication Coordination
• Schedule, chair/support, and minute regular MSI progress meetings (weekly/biweekly), ensuring actions are captured and owners assigned
• Act as the routine communication channel between the MSI and the client PM team, escalating technical or contractual issues to the appropriate lead (ICT Delivery Manager or Interface Engineer)
• Coordinate MSI attendance/input at wider project coordination meetings (civil, MEP, BHS interfaces)
4.Risk & Issue Tracking
• Maintain the MSI-specific risk and issue log, feeding into the overall ICT risk register
• Monitor for early warning signs of scope, schedule, or resourcing problems on the MSI side and raise proactively
• Track open variations/change requests raised by or against the MSI through to resolution status (not technical assessment — that sits with the Interface Engineer/Delivery Manager)
REQUIREMENTS
• Bachelor's degree in Engineering, IT, Construction Management, or related field (or equivalent experience)
• Min 10 years of experience in project coordination, contract administration, or document control on infrastructure/construction projects — ICT or MSI contract exposure strongly preferred
• Experience with submittal/transmittal tracking systems and document control platforms (Aconex, BIW, SharePoint, or similar)
• Familiarity with P6/MS Project schedules sufficient to track and report progress (not build schedules from scratch)
• Strong Excel skills for tracker/dashboard maintenance
• Fluent English is a must
• Highly organized, detail-oriented, comfortable owning multiple parallel trackers and logs
• Proactive follow-up — doesn't wait for the MSI to report problems, chases status actively
• Clear, concise written communication for meeting minutes, status reports, and correspondence
• Diplomatic but firm in holding the MSI accountable to contractual commitments
• Understands enough ICT/MSI scope to track it meaningfully, without needing to adjudicate technical disputes (escalates those appropriately)
