Job Purpose
The position acts as the primary point of contact for internal and external stakeholders on all administrative matters, providing high-level, confidential support to the organization. This role serves as a liaison to senior leadership teams, coordinates special projects, manages corporate-level documentation, and supports executive outreach and external relations.
Key Responsibilities
*** Executive Management Support
- Partner closely with senior leaders to stay informed of upcoming commitments and priorities.
- Review and control all submitted documentation and reports for accuracy and compliance.
- Monitor organizational performance, compile monthly/quarterly summaries, and prepare reports.
- Oversee the implementation of decisions, directives, and assigned tasks.
- Coordinate across divisions, committees, and councils to organize meetings, prepare documents, and record meeting minutes.
- Support leaders in managing internal and external relationships, ensuring timely follow-ups.
- Maintain and manage calendars, schedules, and meeting arrangements efficiently.
- Organize logistics for Board meetings and events, including drafting agendas and preparing presentation materials.
- Ensure compliance with by-laws and applicable regulations related to Board matters.
- Assist with special projects, draft correspondence, maintain contact lists, and track progress.
- Prioritize inquiries and requests, resolve conflicts, and provide sound judgment and recommendations for smooth operations.
*** Administrative & Event Management
Coordinate all senior leadership team meetings and ensure necessary preparations.
Manage administrative services, review office policies and procedures, and recommend improvements for workflow efficiency.
Provide support for corporate-level event planning and execution as required.
Qualifications & Requirements
Education: Bachelor's degree or higher in Finance, Banking, or Law (graduates from reputable international universities are highly preferred).
Experience: Minimum of 5 years of relevant experience providing executive-level support.
Expertise: Strong understanding of banking and financial operations; extensive knowledge in these areas is an advantage.
Professionalism: Demonstrated ability to work effectively with diverse groups, including staff, community leaders, donors, and partners.
