POSITION OVERVIEW

The Senior Business Excellence Manager is responsible for the overall operational and organizational management of MMusic, encompassing all studios and business units under its ecosystem (MRecords, MServices, MIPs, MFan, GENFest, etc.).

The role ensures efficiency, alignment, and long-term sustainability across three key pillars: People System Financial Performance.

As a strategic partner to the Head of MMusic, the PBOD bridges People, Finance, and Studio Leadership translating strategic direction into actionable plans while building a strong organizational culture, structured processes, and scalable systems.

Key Responsibilities:

1. Organizational & Operational Management

  • Oversee daily operations across all studios, ensuring progress, cost control, quality, and inter-studio alignment.
  • Build, implement, and maintain standardized operational systems: approval flows, reporting formats, project timelines, and performance dashboards.
  • Lead weekly operational meetings to identify issues, evaluate performance, and drive resolution.
  • Act as the central coordinator between Creative, Finance, Legal, HR, and Production/Project Management functions.
  • Design and execute MMusic's people strategy: recruitment, performance management, career progression, and leadership development.
  • Work with Finance to develop salary bands, incentive schemes, and performance-based compensation structures.
  • Lead internal culture-building initiatives, including onboarding, training, townhalls, and company-wide engagement programs.
  • Serve as a People Partner to Studio Leads advising on team structure, leadership capabilities, and cultural alignment.

2. Business & Financial Operations

  • Collaborate closely with the Head of MMusic &Chief Financial Officer (CFO) to manage operational budgets (AOP), monitor P&L performance, and control studio-level spending.
  • Track and analyze key financial metrics including revenue, gross margin, and personnel costs.
  • Build and manage quantitative KPIs to evaluate efficiency, cost effectiveness, ROI, and productivity across business units.
  • Support the Head of MMusic in evaluating investments, resource allocation, and expansion or optimization decisions.

3. System, Process & Governance

  • Establish and enforce internal SOPs, approval workflows, and policies across Operations, HR, Finance, and Vendor Management.
  • Ensure compliance with legal, labor, and tax regulations; coordinate with Legal and Finance teams to mitigate operational risks.
  • Lead digital transformation and process automation initiatives (workflow tools, dashboards, HRIS systems).
  • Maintain a balance between creative flexibility and operational discipline across teams.

4. Strategic Alignment & Organizational Growth

  • Translate the strategic vision of the Head of MMusic into actionable operational plans with clear timelines and measurable outcomes.
  • Drive alignment and collaboration between cross-functional teams (Creative, Finance, Brand, IP, Tech).
  • Lead organization design, studio model development, and structural scaling to support MMusic's growth and expansion phases (e.g., new project, market entry).
  • Represent Operations in executive reviews and performance discussions with the Head of MMusic.

KEY DELIVERABLES

  • A unified operational framework with standardized processes, reporting, and governance.
  • Annual People & Operations Plan, including headcount, salary budget, and performance targets.
  • Quarterly P&L and efficiency reports by studio with variance analysis.
  • A high-performing, disciplined, and culturally aligned internal organization.

Reports to: Head of MMusic

Direct Reports:

  • Operations Coordinator / Project Control
  • Admin & Office Management
  • Royalty/ revenue reporting specialist
  • Functional liaison with Finance, HR / People Operations/Procurement/Accountant (non-direct reporting line)

Qualifications:

  • 8+ years in operations, organization management, preferably within creative, entertainment, media, or startup environments.
  • Strong understanding of P&L, budgeting, cost control, KPI management, HR systems, and multi-unit operations.
  • Proficiency in Excel/Google Sheets and project management tools (Asana/Notion/ClickUp); strong data literacy and reporting ability.
  • Leadership, systems thinking, negotiation, decision-making, change management, and interpersonal communication.
  • Fluent in Vietnamese and English (both written and spoken).
  • Balanced between logic, creativity, and execution; proactive, reliable, high accountability; a true builder who thrives on creating systems and culture from the ground up.
  • Thinks like a business partner, acts like an operator, and communicates like a leader of people.
