Job Description

Purpose of the Role:

  • Vision: To ensure the smooth operation of all processes and projects by strictly following established procedures and timelines, while proactively tracking, identifying, mitigating, and reporting potential risks within the scope of the role's responsibilities.
  • Mission: To work closely with the Account Manager, suppliers, and stakeholders on acceptance and order closure in the system; manage reports and perform required tracking while ensuring data accuracy; monitor progress and provide timely updates to relevant stakeholders.
  • Approach: Maintain a proactive working mindset, propose and contribute solutions to optimize operational processes, add value to the team to achieve shared KPIs, and consistently ensure accountability by performing responsibilities correctly and completely in all situations.

Role Overview

The (Senior) Account Executive supports production processes by managing standard projects, including but not limited to rate cards, reporting, and internal data analysis. The role provides exposure to ways of working, procedures, and workstreams.

This position operates under the direct supervision of the Senior/Account Managers or Team Lead.

Main Responsibilities:

1. Reporting & Tracking

  • Prepare and manage weekly/monthly reports and tracking as required.
  • Process raw data from systems and continuously update, validate, and cross-check data inputs from relevant stakeholders in accordance with required timelines.

2. Acceptance & Completion Documentation

  • Complete liquidation and acceptance documentation.
  • Ensure all supplier documents are submitted on time and contain accurate information before sharing with stakeholders for confirmation and e-contract signing.

3. Order Closure in System

  • Ensure orders are closed in the system in compliance with established procedures, compliance requirements, and monthly KPIs assigned by the line manager.

4. Order Progress Tracking

  • Track order status with suppliers and proactively update stakeholders on the progress of ongoing orders.

5. Timeline Management

  • Monitor and manage order timelines and statuses closely to prevent critical issues that could negatively impact overall team and company performance.

Skills, Knowledge & Experience:

Knowledge & Experience

  • College or Bachelor's degree in Marketing, Business, or related fields is an advantage; alternatively, relevant business qualifications and/or experience in Procurement, Contracts, or Commercial-focused environments.
  • Experience or understanding of purchasing systems, basic finance knowledge, and MRP/ERP systems is an advantage.
  • Preference for candidates with at least two (2) years of experience in a similar role or within the same industry (below-the-line advertising, gifts and premiums sourcing or supplier services).

Mandatory & Additional Skills

  • Proficient in Microsoft Excel and MS Office.
  • Strong organizational, task management, and tracking skills.
  • Effective communication with internal stakeholders and suppliers.
  • Strong analytical skills with close attention to data accuracy.
  • Team-oriented, proactive, and able to work under tight deadlines.
  • English proficiency is a plus but not mandatory.

Role Requirements:

  • Work location: Office is in District 1, Ho Chi Minh City (Hybrid setup – 2 or 3 days working onsite per week).
  • Working hours are 9:00 AM – 6:00 PM, Monday to Friday.
  • Due to the project-based nature of the role, occasional work outside standard hours may be required, with time-off recovery arranged accordingly.
