Detailed Job Description
Seasonal Project Support Officer

Position title: Seasonal project support Officer Central Annamites Landscape (CAL)
Expected duration: From 01 April 2026 to 15 October 2026 (6,5 months)
Reporting lines: Direct report to: CAL Admin Coordinator

Location: Based in CAL field offices; travel as required.

In line with WWF-Viet Nam's pilot implementation of the Project-to-Program approach, administrative and project support functions in CAL are being centralized and pooled to improve efficiency, flexibility, and balanced workload allocation across the landscape. Under this approach, Project Support Officers are part of a shared admin pool serving multiple projects and program components within the Forest Practice CAL. While each officer may act as a focal point for specific projects, they are expected to flexibly support other projects based on workload and priorities.
Provide integrated administrative, financial, logistical, and basic technical support to CAL projects and program components, ensuring smooth implementation, compliance, and efficient use of resources across the landscape.
- Key Duties & Responsibilities
- Administrative & Financial Support
- Provide day-to-day administrative and financial support to assigned projects/components.
- Support budget monitoring, expense tracking, and preparation of financial/admin inputs for reports.
- Collect, check, and process invoices, receipts, contracts, and supporting documents in compliance with WWF and donor requirements.
- Logistics & Operations
- Organize logistics for meetings, workshops, trainings, field missions, and study tours (venues, travel, accommodation, documentation).
- Support procurement processes in line with WWF procedures.
- Maintain organized records and filing systems for assigned and shared tasks.
- Multi-Project & Programmatic Support
- Serve as focal point for 1 or more projects while remaining available to support other CAL projects as assigned by the Admin Coordinator.
- Coordinate closely with other Admin staff to balance workload and ensure continuity of support.
- Support harmonized admin processes across projects under the programmatic approach.
- Coordination & Liaison
- Liaise with project staff, finance, HR, and admin teams at CAL and the WWF head office.
- Maintain effective working relationships with partners, suppliers, service providers, and local authorities (operational scope).
- Field & Technical Support (as required)
- Support field activities (trainings, workshops, monitoring visits) when required.
- Assist with basic data collection, information management, and M&E-related administrative tasks.

- Strong coordination and leadership skills with the ability to manage workloads, set priorities, and guide a small admin team.
- Proven ability to balance competing demands across multiple projects and offices in a fast-paced, time-sensitive environment.
- Excellent problem-solving skills, with the ability to anticipate operational risks and propose practical solutions.
- Clear, confident, and credible communication skills when working with staff, project managers, senior management, partners, and local authorities.
- Strong relationship management skills with internal and external stakeholders, inding government counterparts, suppliers, and service providers.
- Ability to drive process improvement, standardization, and efficiency in administrative systems and workflows.
- High attention to detail combined with the ability to maintain a landscape-level operational perspective.
- Strong time management, planning, and organizational skills.
- Fluency in written and spoken Vietnamese and English.

- Working Relationship
- Internal: Works closely with the administration team of Viet Nam Country Programme. Interacts regularly with staff as required in fulfilment of duties works and engages with and support all WWF-Viet Nam staff.
- External: Interacts regularly with project counterparts, partners, consultants, suppliers, and other related local authorised.
This standardized JD applies to all CAL Project Admin / Project Support roles. Individual workplans and project focal assignments will be defined annually or updated as needed by the CAL Admin Coordinator and/or other tasks may be assigned as necessary according to organizational needs.
