Job Description
1. Team & Operation Management
- Manage, build and continuously improve sea freight operation processes to ensure efficiency, accuracy, and service quality.
- Plan, assign, supervise, and optimize daily tasks for the Sea Freight team.
- Monitor staff performance and ensure operational KPIs are achieved.
- Handle complex operational issues that staff cannot resolve.
- Provide backup support when team members are on leave.
2. Booking Control & Shipment Management
- Supervise booking requests and ensure booking confirmations are issued to customers within the committed timeline.
- Control and manage the dummy booking list, especially during peak seasons.
- Closely monitor shipment status and proactively resolve operational problems.
- Ensure all shipment handling tasks are completed on time and in compliance with SOPs.
3. Coordination with Documentation Team
- Confirm, implement, and hand over SOPs to the Documentation team.
- Provide agent and carrier information to Documentation staff to ensure smooth shipment execution.
- Ensure smooth coordination between Sea Freight Operations and Documentation for accurate and timely document processing.
4. Pricing & Agent Support
- Provide sea freight rates for import and export shipments to overseas agents.
- Support the Sales and Customer Service teams with operational and routing solutions when required.
5. Vendor & Carrier Relationship Management
- Develop, maintain, and strengthen relationships with shipping lines, NVOCCs, trucking companies, and overseas agents.
- Monitor and control service quality of carriers and suppliers.
- Provide regular feedback and improvement suggestions to the General Manager/Operations Director.
6. Complaint Handling & KPI Management
- Handle customer complaints related to sea freight operations.
- Handle internal complaints from other departments.
- Implement CAPA (Corrective and Preventive Actions) for operational issues.
- Evaluate and manage KPIs of Sea Freight team members.
7. Reporting
- Prepare monthly lifting reports (shipment volume reports).
- Prepare monthly operation performance reports of the Sea Freight Department.
8. Training & Team Development
- Train and onboard new employees in the Sea Freight team.
- Develop training programs in coordination with Management and related departments.
- Participate in building and improving operational workflows and SOPs with Management and related departments.
9. Compliance & Process Improvement
- Continuously update knowledge of regulations related to shipping, international transportation, and logistics.
- Proactively propose solutions and improvements to enhance operational efficiency and service quality.
- Ensure proper filing and storage of operational and shipping documents in accordance with company policy and legal requirements.
Job Requirements
- Bachelor's degree in Logistics, International Business, Foreign Trade, Supply Chain Management, or related fields.
- Minimum 3 years of experience in Sea Freight Operations Management within a Freight Forwarding company.
- Strong knowledge of international sea freight operations (Import & Export), Incoterms, and shipping documentation.
- Proven leadership, problem-solving, and team management skills.
- Strong communication and negotiation skills with carriers, agents, and customers.
- Good command of English in reading, writing, and professional communication with international partners.
- High sense of responsibility, integrity, ability to work under pressure, and long-term career orientation in logistics.
