Scheduling and Planning Executive
Position Summary
The Scheduling and Planning Executive is responsible and accountable for production scheduling, material planning and purchasing, and import–export coordinating activities of the plant. The role ensures that production plans align with organizational objectives, comply with regulatory requirements, and support smooth plant operations with high uptime.
This position also coordinates closely with internal teams and 3rd‑party contractors to ensure timely availability of materials, accurate documentation, and efficient execution of related planning activities.

The Role
- Production Scheduling
- Develop daily, weekly, monthly production schedules based on demand forecast, inventory levels, production capacity, and material availability.
- Monitor production performance versus plan and adjust schedules proactively to minimize downtime.
- Coordinate with internal departments to ensure readiness for scheduled operations.
- Work with Toll manufacturers to have and arrange production tolling plan properly.
- Analyze production plan deviation and propose corrective/ preventive actions.
- Maintain planning parameters in planning systems.
- Material Planning & Purchasing
- Build materials requirement plans (RM/PM/SFG) based on production plans.
- Implement timely order placement, follow up with supplier, and track delivery.
- Monitor inventory levels to avoid stock‑out or excess inventory, control healthy stock.
- Set up material and related parameters in planning system.
- Develop local suppliers, review and maintain contracts, to ensure supply security.
- Import – Export Management
- Prepare and verify import/ export documents to ensure their accuracy and timely.
- Coordinate with customs service provider, shipping lines, and other vendors for timely clearance.
- Ensure compliance with customs regulations and pesticide industry-specific requirements.
- Track inbound/ outbound shipments status and resolve issues promptly.
- Coordination with 3rd‑Party Contractors
- Monitor performance of related contractor and suppliers, drive improvement.
- Verify the cost from contractors and suppliers, then submit it to finance for arranging the payment.
- Coordinate with Warehouse to ensure warehouse capacity is available for the incoming shipment.
- Resolve operational issues related to delivery, receiving, storage, and documentation.
- Reporting & Compliance
- Prepare regular reports about Planning related activities as request, included from authorities.
- Maintain compliance with company policies, EHS standards, and pesticide‑specific regulatory.
- Support internal/ external audits related to Planning activities and documentation.
- Continuous Improvement
- Identify opportunities, execute initiatives to improve operational efficiency in all planning related activities.
- Support in cross-functional projects, digitalization initiatives, and ERP enhancement.
- Perform other tasks appropriately assigned by the Direct Manager.
The Candidate
- Possess at least Bachelor's degree in Supply Chain, Industrial Engineering, Chemical Engineering, or any relevant field.
- 3–5 years of experience in Planning, Purchasing, or Import–Export roles.
- Experience in chemical, agrochemicals, FMCG, or pharmaceutical manufacturing is preferred.
- Experience working with 3rd‑party contractors and customs brokers.
- Demonstrated success in developing and executing reliable production schedules with minimal deviation, optimizing inventory levels, and managing import–export processes.
- Strong knowledge of ERP/MRP systems, preferred to SAP.
- Understanding production planning, materials management, and purchasing.
- Solid knowledge of Vietnamese customs regulations and import–export procedures.
- Proficiency in MS Excel and data analysis skills preferred.
- Good English for communication and documentation.
- Strong coordination and communication skills across functions.
- Ability to work on-site at manufacturing plant environment.
- Detail-oriented, accurate, and well-organized.
- Proactive and able to manage multiple tasks.
- Strong analytical thinking and problem-solving.
- High integrity and sense of responsibility.
