Job Description

Job Summary

  • Working location: South Management Office (HCM)
  • Working hours: Monday – Friday, 8:00 AM – 5:00 PM
  • Reporting to: Supervisor

What You Do

  • Support the Sales and Customer Care Departments in performing the following tasks:
  • Ensure the completion of daily tasks:
    • Perform related approvals within the scope of assigned responsibilities and authority.
    • Monitor and support any arising issues.
    • Store and manage documents in Sales & CC:
      • Classify and store documents (Quotations, Purchase Orders, Handover Documents).
      • Monitor contract expiry dates for contract renewal and update the master list.
    • Prepare daily reports and daily work plans for the direct supervisor.
  • Ensure the completion of weekly tasks:
    • Contract preparation: Support the department in obtaining approvals/signatures for new contracts and contract renewals in accordance with the Company's prescribed procedures.
  • Ensure the completion of monthly tasks:
    • Issue invoices for offsite services provided by ADV.
    • Support attendance management for the Sales & CC Departments and other sites as requested by the direct supervisor.
    • Prepare summary reports: Sales Summary Reports/Debit Notes to be sent to the Sales Manager, HCMC Sales team, and Accounting Department.
    • Prepare payment requests for suppliers.
    • Receivables: Receive handover documents → prepare monthly service fee statements for all customers → send them to the Accounting Department for invoice issuance.
    • Support the provision of certain services to tenants, such as pest control, refilling or replacing fire extinguishers, etc.
  • Ensure the completion of quarterly tasks:
    • Prepare incentive and payment requests for the Sales and Customer Service Departments regarding incentives.
    • Support the provision of certain services to tenants, such as pest control, refrigerant refilling, replacing fire extinguishers, etc.
  • Other tasks:
    • Prepare proposals and approvals for equipment and common office supplies for the team and sites.
    • Prepare purchase contracts and process payments with suppliers.
    • Carry out Kaizen improvement activities to enhance work efficiency, improve quality, reduce costs, etc.
    • Job duties may be added or adjusted according to actual requirements, provided that they remain within the scope of the employee's professional expertise.
    • Perform other tasks as requested by the direct supervisor.
What We Require

  • College or Bachelor's degree in related fields.
  • Proficient in Microsoft Office applications.
  • Good communication skills.
  • Willing to travel to assigned project sites and work overtime when required.
  • Candidates with relevant experience and knowledge of electrical systems, building engineering, or related fields are preferred.
