About the Role
The Sales Administrator will support the Vietnam team by managing sales-related documentation, coordination with internal teams and external vendors, and ensuring smooth execution of contracts, quotations, and campaign paperwork. This role is critical to improving efficiency, reducing administrative load on sales and CS teams, and supporting scalable growth.
Key Responsibilities
Prepare, manage, and track sales documents including:
- Quotations
- Contracts
- Amendments and confirmations
- Prepare and submit invoices and payment requests based on contract terms
- Ensure proper filing and archiving of all critical sales and client documents
Coordinate with Finance, Ops, and CS teams to ensure:
- Accurate paperwork
- Timely approvals
- Proper documentation for campaigns
- Streamlined communication for contract execution and payment processing
Support vendor coordination, including:
- Documentation
- Payment-related paperwork
- Campaign execution support
- Monitoring vendor compliance with procedural requirements
Maintain organized records of:
- Client documents
- Contracts and deal status
- Campaign-related paperwork
- Update and manage the CRM system (e.g., Salesforce, HubSpot) with accurate sales pipeline and document status information
Assist Sales and CS teams in:
- Following up on documentation
- Ensuring compliance with internal processes
- Generating basic sales reports (e.g., contract volume, document turnaround time) as needed
- Support ad-hoc administrative tasks related to sales and campaign operations.
Requirements
- 13 years of experience in sales admin, operations support, or similar roles
- Comfortable working with contracts, quotations, and documentation
- Strong attention to detail and organization
- Good communication skills (Vietnamese required, basic English preferred)
- Proficient in Google Workspace (Docs, Sheets, Drive)
- Ability to work in a fast-paced environment with multiple stakeholders
- Experience in agency, marketing, or service-based companies is a plus
