Job Purpose
To coordinate and monitor purchasing activities to ensure goods and materials are supplied on time, in the correct quantity and quality, and at optimal cost, supporting smooth business and production operations.
Key Responsibilities
- Receive purchase requests from internal departments.
- Coordinate with Purchasing Groups of VGR who are responsible for sourcing, negotiation, and supplier nomination activities.
- Prepare, issue, and track Purchase Orders (POs) or supply contracts.
- Coordinate with suppliers to ensure on-time delivery.
- Follow up on order status and handle delivery issues or delays.
- Ensure purchased goods arrive on time to avoid project delays.
- Communicate with suppliers regarding POs, contracts, delivery schedules, and payment terms.
- Handle issues related to shortages, incorrect deliveries, or defective goods.
- Maintain and update supplier records and documentation.
- Work closely with R&D, warehouse, accounting, production, and sales teams.
- Coordinate goods receipt and reconcile documents (POs, invoices, delivery notes).
- Update purchasing data in internal systems or Excel.
- Prepare regular purchasing and delivery status reports.
- Maintain proper filing of purchasing documents and records.
Job Requirements
- Bachelor's degree in Supply Chain, Purchasing, or related fields.
- At least 2 years of experience in purchasing, logistics, or coordination roles.
- Good communication and coordination skills.
- Strong follow-up and multitasking abilities.
- Proficient in Microsoft Excel; experience with ERP systems (SAP, Oracle, Odoo, etc.) is a plus.
- Detail-oriented, well-organized, and able to work under pressure.
- English proficiency is required.
- Chinese is a plus.
