Why this role

KONE Vietnam is seeking a Purchasing Coordinator to manage purchase order processes and ensure timely delivery of materials and services. The role requires strong attention to detail for accurate data management, proactive follow-up with suppliers, and effective communication in the local language. Key skills include supplier coordination, price negotiation, and collaboration with sourcing teams to secure favorable terms. The ideal candidate is organized, deadline-driven, and able to escalate sourcing needs when necessary.

What will you be doing

  • Monitor purchase requisitions to ensure compliance with approved suppliers and accurate material and supplier master data.
  • Support business requestors in identifying suitable suppliers and clarify item prices and conditions using framework agreements established by Sourcing.
  • Track and resolve order confirmation deviations, updating purchase orders as needed.
  • Follow up on overdue goods receipt postings and escalate issues to management.
  • Investigate and clarify invoice matching discrepancies for PO-related invoices.
  • Handle day-to-day supplier issues in collaboration with purchasing administrators and business requestors.
  • Monitor automated supply line processes and manage exceptions escalated by purchasing administrators or other stakeholders.
  • Ensure adherence to KONE policies and procedures, particularly the Purchase Order policy.
  • Maintain compliance with quality, safety, and environmental standards.
  • Perform additional tasks assigned by the Procurement Manager as required.

Are you the one

Education: Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or a related field.

Experience:

  • Minimum five (05) years of experience in purchasing, procurement, or supply chain operations.
  • Familiarity with ERP systems (e.g., SAP) and purchase order processes.
  • Experience in supplier coordination and resolving procurement issues.
  • Strong experiences in project procurement, managing multiple projects simultaneously.

Skills:

  • Understand purchase contract terms and ensuring compliance with established framework agreements.
  • High sense of responsibility, meticulousness, and strong attention to detail.
  • Good communication skills in local language and English.
  • Negotiation skills to secure favorable pricing and terms.
  • Analytical and problem-solving abilities for handling order and invoice discrepancies.
  • Ability to collaborate and display proactive mindset.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office, especially Excel, for data analysis and reporting.
  • Knowledge of quality, safety, and environmental standards.
