Job Description

Position Overview:

We are looking for a Project Coordinator to join Everfit's Data team and drive the coordination and delivery of multiple data initiatives running in parallel.

You'll work day-to-day with the Vietnam-based engineering team and Head of Engineering to keep data projects moving, tracking progress, clarifying requirements, managing timelines, and removing blockers. You'll maintain close alignment with the US-based Data Scientist, who owns the analytical strategy and sets the direction for each initiative.

This is not a technical data role, you don't need to write SQL or build dashboards yourself. But you need to understand data projects well enough to ask the right questions, translate between technical and business stakeholders, and keep multiple workstreams on track without losing quality or momentum.

About The Team

Everfit's Data team turns the activity of 280,000+ coaches and millions of client interactions into insight, powering product decisions, business intelligence, and the AI features that make Everfit's platform smarter every day.

The team works across a range of data initiatives: product analytics and funnel reporting, business intelligence dashboards for leadership, data pipelines that feed AI features, platform health monitoring, marketplace and payment analytics, and the data infrastructure that supports Everfit's growth globally.

The Data team operates across two time zones, a Data Scientist based in the US drives the analytical strategy and research, while engineering and delivery run out of Vietnam under the Head of Engineering. This role sits at the center of that collaboration.

Your impact

Project Coordination & Delivery

  • Coordinate multiple data initiatives simultaneously, dashboards, analytics reports, data pipelines, and AI data requirements, ensuring each stays on track against agreed timelines and scope.
  • Own sprint planning support for the Data team: prepare agendas, track backlog items, document decisions, and follow up on action items from sprint ceremonies.
  • Maintain a clear, up-to-date picture of every active data project, milestones, dependencies, risks, and delivery status, accessible to both the Vietnam team and US stakeholders.
  • Proactively surface blockers related to data availability, data quality, or technical constraints, and work with the Head of Engineering to resolve them before they impact delivery.

Stakeholder Alignment (Vietnam ↔ US)

  • Serve as the coordination link between the US-based Data Scientist and the Vietnam engineering team, ensuring requirements are clearly understood, priorities are aligned, and progress is communicated consistently.
  • Prepare and distribute clear, concise project updates to the Head of Engineering, Data Scientist, and other stakeholders, no one should be surprised by a delay or scope change.
  • Facilitate regular syncs across time zones: prepare agendas, capture decisions and action items, and ensure follow-through.
  • Translate between business needs and technical execution, help non-technical stakeholders understand constraints, and help engineers understand what outcomes the business actually needs.

Requirements & Documentation

  • Work with business stakeholders to clarify data requirements: objectives, data sources, metric definitions, success criteria, and edge cases.
  • Maintain comprehensive project documentation: requirements, assumptions, scope changes, delivery plans, and post-delivery notes.
  • Support review of data deliverables: dashboards, reports, and data outputs, to verify they meet agreed requirements, logic consistency, and quality expectations before handoff.
  • Capture and manage scope changes with proper documentation and impact assessment, ensuring all parties are informed before changes are actioned.

Process & Continuous Improvement

  • Champion Agile delivery practices within the Data team, retrospectives that lead to real improvements, not just check-in conversations.
  • Identify inefficiencies in how data projects are coordinated and propose practical improvements to how the team plans, tracks, and delivers.
  • Help onboard new data initiatives by setting up project structures, documentation templates, and delivery rhythms from the start.

Who you are

  • 3+ years of experience in project coordination, project management, or a similar delivery role in a software, data, or technology environment.
  • Proven ability to manage multiple projects simultaneously, tracking timelines, dependencies, and deliverables without dropping anything.
  • Strong English communication skills, written and verbal, able to write clear status updates, facilitate meetings across time zones, and align stakeholders at all levels.
  • Excellent at translating between technical and non-technical stakeholders, you understand enough to ask the right questions and enough to explain the answers.
  • Highly organized with strong attention to detail, your documentation is clear, your action items get closed, and your timelines are honest.
  • Comfortable working in an Agile environment with evolving requirements, you adapt without losing control of the delivery.
  • Proactive communicator: you raise issues early, share updates before being asked, and never let problems sit quietly.

Nice to have:

  • Experience coordinating data, analytics, or AI projects, familiarity with how dashboards, data pipelines, or reporting workflows get built.
  • Basic understanding of data concepts: metrics and dimensions, funnels, cohort analysis, data sources, and what makes a dashboard useful vs. noisy.
  • Experience working cross-timezone with a US or international team, comfortable with async communication and proactive time zone management.
  • Familiarity with project tools such as Jira, Linear, Notion, or Confluence.
  • Background in SaaS, product analytics, or business intelligence environments.
  • Curiosity about AI and data-driven product development, you're interested in how data powers the product, not just how projects get tracked.
