PROJECT ADMINISTRATOR
Mesa Group is looking for a Project Administrator to support project teams in documentation management, project coordination, reporting, and administrative activities, particularly for construction and F&B projects.
KEY RESPONSIBILITIES
Project Administration & Documentation
- Receive, organize, distribute, track, and maintain project documentation, including correspondence, contracts, purchase orders, drawings, technical specifications, inspection and acceptance records, as-built documents, and project settlement documents.
- Maintain and organize both hard-copy and electronic project records, ensuring documents are complete, accurate, up to date, and easily accessible.
- Develop and maintain effective document management and control procedures for project-related records.
- Maintain project contact lists, including project stakeholders, suppliers, customers, and other relevant parties.
- Maintain correspondence logs, action logs, and other project tracking records.
- Prepare and format project-related documents, including contracts, reports, correspondence, memorandums, and presentations.
- Ensure project documents are properly filed and distributed to relevant stakeholders in a timely manner.
Project Coordination & Reporting
- Consolidate work plans, reports, and relevant information from individuals and departments.
- Coordinate with internal teams and external stakeholders to collect and distribute project information and documentation.
- Prepare meeting materials and support the organization of meetings, workshops, seminars, site visits, and business trips.
- Prepare meeting minutes and distribute them to relevant individuals, departments, and stakeholders.
- Track action items and follow up with relevant parties to support timely completion.
- Support the Project Manager and project team with day-to-day administrative and coordination tasks.
- Perform other duties as assigned by the direct manager.
REQUIREMENTS
- Bachelor's degree or College Diploma in Business Administration, Project Management, Construction, or a related field.
- Experience or knowledge of construction projects is preferred.
- Experience in F&B/restaurant development projects is an advantage.
- At least 1 year of experience in Project Administration, Document Control, Project Coordination, or a related role is an advantage.
- Proficient in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
- Basic knowledge of Power BI is an advantage.
- Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
- Good data consolidation, reporting, and analytical skills.
- Strong written and verbal communication skills, with the ability to communicate effectively with internal and external stakeholders.
- Detail-oriented and well-organized, with the ability to manage a high volume of documents accurately.
- Able to work effectively under pressure while maintaining a positive and professional attitude.
- Good teamwork and presentation skills.
- Proactive, responsible, and willing to learn.

WORKING LOCATION
Location: 202 Ly Chinh Thang street, Nhieu Loc ward, HCMC
WORKING HOURS
Monday – Friday: 8:30 AM – 6:00 PM, including a 1.5-hour lunch break
Saturday: 8:30 AM – 12:00 PM (Work From Home)
