Job Description

Diamond Plaza is looking for potential candidates for the Procurement/ Purchasing staff position with the following details:

  • Working time: 42.5 hours/week
  • Working at: Diamond Plaza Department Store, 34 Le Duan St., Saigon ward, HCM City

PROCUREMENT/PURCHASING ADMIN

Report line: Purchasing Manager

KEY RESPONSIBILITIES

1. Purchasing Planning

-   Identify material and equipment needs based on construction plans and requirements from relevant departments.

-   Plan the procurement of necessary goods and materials to ensure construction progress.

2. Supplier Search and Evaluation

-   Search for, evaluate, and select potential suppliers.

-   Negotiate prices, contract terms, and other conditions with suppliers.

3. Order Placement and Tracking

-   Execute purchase orders according to approved plans.

-   Track and ensure timely delivery of goods in the correct quantities and quality.

4. Quality Control

-   Coordinate with the technical department to inspect the quality of received goods.

-   Handle issues related to goods that do not meet quality standards or requirements.

5. Inventory Management

-   Manage and control inventory levels to avoid shortages or excess.

-   Propose measures to optimize storage and warehousing.

6. Bidding Process

-   Understand and execute bidding processes, from preparing bid documents to evaluating and selecting contractors.

-   Organize and participate in bidding meetings, negotiations, and contract signings.

-   Ensure the bidding process complies with legal regulations and company standards.

7. Reporting and Record Keeping

-   Prepare periodic purchasing reports and as required by superiors.

-   Store and manage purchasing documents and contracts.

8. Supporting Other Tasks

-   Support other tasks as required by superiors.

-   Coordinate with other departments to ensure smooth and efficient purchasing operations.

REQUIREMENTS

·     University degree in electrical orconstruction or mechanical engineering;

·     Fluent in English, proficiency in Microsoft Office;

·     At least 3 years working experience in purchasing officer position;

·     Good knowledge of vendor sourcing practices (researching, evaluating, and liaising with vendors);

·     Knowledgeable about the market and construction materials

·     Effective time management and organizational skills

·     Good teamwork and communication skills

·     Experience and understanding of the bidding process, related legal requirements, and bid document preparation techniques.

·     Hands-on experience with purchasing software;

·     Hardworking, careful, industrious and honest;

·     Negotiation skills.
