Position: Procurement Executive (Direct & Project Sourcing Support)
Open for candidate who have +2 years experience of procurement with good command of English (background pharma is a plus)
Job purpose:
To manage and execute the procurement of pharmaceutical excipients and to support project-based sourcing of all direct materials (API- active pharma ingredients, excipients, packaging). The role ensures timely supply, cost efficiency, regulatory compliance, company policies compliance, and effective coordination with internal stakeholders and external suppliers to support production, registration, and new project execution.
What will you do
1. Procurement of Excipients
- Manage the procurement of excipients in accordance with approved supplier lists, specifications, and regulatory requirements.
- Ensure timely availability of materials to support production plans and inventory targets.
- Verify completeness and compliance of supplier documentation (e.g. CoA, quality agreements, regulatory documents where applicable).
- Proactively manage risks related to supply continuity, lead times, shelf life, and quality issues.
- Coordinate with Quality, Supply Chain, and Production to resolve deviations, shortages, or delivery delays.
2. Project Sourcing Support
- Support sourcing activities for API, excipients, and packaging materials for:
+ New product introduction (NPI)
+ Tech transfer
+ Alternate sourcing / cost optimization projects
- Prepare RFQ/RFP, cost comparison, and sourcing proposals aligned with project timelines.
- Coordinate sample ordering, supplier documentation collection, and follow-up during project execution.
3. Supplier & Contract Management
- Maintain professional relationships with external suppliers in line with company principles.
- Support supplier evaluations, performance reviews, and qualification processes.
- Participate in commercial negotiations, contract execution, and price discussions to achieve cost efficiency and supply security.
- Identify alternative suppliers or sourcing options when required.
4. Operational Procurement & Reporting
- Create, track, and maintain purchase orders and contracts in SAP systems.
- Monitor order confirmations/POs/Contracts, deliveries, and invoice accuracy.
- Prepare and maintain procurement reports (spend, savings, supplier performance, project status).
- Maintain procurement records and documentation in compliance with internal procedures and audits.
5. Cross-Functional Collaboration
- Act as a reliable procurement partner for internal stakeholders including Quality, Regulatory Affairs, Supply Chain, Finance, Production, and Project teams.
- Communicate proactively on material availability, risks, and changes impacting supply or project execution.
What do we expect from you
- At least 2 years of experience in procurement, preferably within the pharmaceutical or regulated manufacturing industry.
- Experience in sourcing or purchasing direct materials API, excipients, packaging is an advantage.
- Fluent in English (written and spoken) - work directly with local & global vendor.
- Good attitude, open-minded, positive thinking, proactive & good interaction skills
- Basic knowledge of GMP/GDP and pharmaceutical supply chain requirements is preferred.
