About the position

The Factory Procurement Administrator is responsible for supporting daily purchasing tasks, ensuring that orders are completed on schedule and accompanied by complete documents and the ERP system.

Responsibilities:

Procurement Reporting

  • Ensure data accuracy, consistency, and timely updates across procurement systems.
  • Maintain procurement reports and documentation for management review and audit purposes.

Order Data Control

  • Review and update procurement data throughout the purchasing cycle to ensure completeness.
  • Track compliance with contract terms through data checks and reporting.
  • Identify and escalate discrepancies between contracts, purchase orders, and invoices.

ERP System & Payment Support

  • Gather all delivery and warehousing documents from the relevant departments, ensuring all necessary documents are in place for prompt payment processing.
  • Compare the purchase data with the supplier invoice to ensure the invoice is correct.
  • Process the payment order on the ERP system and send the complete documentation to the accounting department.
  • Prepare reports on payment status and outstanding balances to support the Procurement Manager.

Ideal candidate trait:

Qualifications & Experience

  • Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or a related field.
  • At least 1 year of experience in admin, preferably in the F&B field or food manufacturing.

Mindset & Approach:

  • Good communication skills to work with internal teams and suppliers.
  • High attention to detail, good data accuracy, and ability to work with numbers.
  • Ability to manage multiple tasks, meet deadlines, and work independently.
  • Eager to learn

Technical Skills

  • Proficient in Microsoft Office and procurement software (such as SAP, Oracle, or ERP systems).

General Skills

  • Strong negotiation, communication, and analytical skills.
  • Detail-oriented with strong organisational and problem-solving skills

Working time: Monday - Friday

Working location: Marou Factory: Binh Chieu Industrial Park, Binh Chieu Ward, Thu Duc City, HCMC.
