Job Description

ABOUT THE ROLE

  • The PMO Manager owns the end-to-end planning, governance, and delivery of strategic, cross-functional projects at OnPoint, regardless of business domain.
  • This is a generic, project-agnostic role: the specific project or department (Operations, Commercial, Data & Analytics, Supply Chain, Business Transformation, etc.) will be assigned at the time of hiring or reassigned as business priorities shift.
  • You will translate business objectives into structured project plans, drive execution discipline across stakeholders, and build the governance standards (frameworks, templates, reporting cadence) that raise project management maturity across the organization.

KEY RESPONSIBILITIES

1. Project & Program Planning

  • Translate business objectives and strategic priorities into clearly scoped project charters, milestones, and deliverables, supported by structured analysis.
  • Develop detailed project plans covering scope, resourcing, timeline, and budget across the full project lifecycle: scoping, planning, execution, pilot, launch, and post-launch review.
  • Assess current processes, systems, or operating models to identify improvement opportunities and build the business case for the project.

2. Stakeholder & Requirements Management

  • Engage business leaders, cross-functional teams, and (where applicable) brand partners and external vendors/solution providers to gather requirements, align priorities, and secure buy-in.
  • Act as the primary point of contact between the project sponsor, working teams, and stakeholders throughout the project lifecycle.
  • Facilitate trade-off decisions across scope, timeline, and resources when priorities or constraints conflict.

3. Project Governance & Execution

  • Own end-to-end project delivery, applying the appropriate methodology (Agile, Waterfall, or hybrid) based on project context.
  • Establish and maintain project governance frameworks — RAID logs, risk registers, status reports, steering committee materials — to ensure full visibility of project health.
  • Proactively identify, escalate, and manage risks, dependencies, and bottlenecks before they impact delivery timelines or outcomes.

4. Performance Tracking & Reporting

  • Define and track KPIs/success metrics to measure project impact against business objectives (e.g., cost savings, efficiency gains, service level improvement).
  • Prepare and present regular status updates, dashboards, and executive summaries to project sponsors and leadership.
  • Conduct post-project reviews to capture lessons learned and quantify ROI/business impact.

5. PMO Standards & Continuous Improvement

  • Standardize PMO processes, templates, and best practices to raise project delivery maturity across OnPoint.
  • Maintain a portfolio-level view of active projects, capacity, and priorities when managing multiple concurrent initiatives.
  • Coach and support other project contributors or coordinators on PM methodology and tools, where applicable.

REQUIREMENTS

Education

  • Bachelor's degree in Business Administration, Economics, Engineering, Supply Chain, Information Systems, or a related field.
  • Experience
  • 4-6 years of experience in project/program management, PMO, business analysis, or management consulting, ideally within e-commerce, retail, logistics, or technology-enabled businesses.
  • Demonstrated track record owning end-to-end delivery of cross-functional projects with multiple stakeholders and interdependencies, in fast-paced settings.
  • Experience building PMO governance frameworks: project charters, RAID logs, risk registers, steering committee reporting, and project portfolio management.
  • Solid understanding of both Agile and Waterfall methodologies, with the judgment to apply the right approach per project context.
  • Proficiency in using data and metrics to validate assumptions, track progress, and measure outcomes in ambiguous environments.

Skills & Competencies

  • Strong analytical and structured problem-solving skills; able to break down ambiguous, cross-functional problems into clear action plans.
  • Excellent stakeholder management and communication skills; able to influence and align stakeholders at all levels — including senior leadership and external brand partners — without formal authority.
  • Strong ownership and accountability; manages competing priorities and tight deadlines without losing momentum.
  • Comfortable operating with a sense of urgency in fast-paced, ambiguous environments typical of e-commerce operations.
  • Proficient with project management tools (e.g., MS Project, Jira, Asana, Monday.com) and MS Office / Google Workspace.
  • Good command of English (verbal and written); Vietnamese native or fluent.

Nice to Have

  • Familiarity with AI-assisted productivity tools (e.g., Claude, ChatGPT) and basic Python/SQL to accelerate analysis, prototyping, or reporting.
  • PMP, PRINCE2, or Agile/Scrum certification.
  • Experience with ERP, WMS, or e-commerce platform operations (Shopee, TikTok Shop, Lazada).
