A. Job Description:
- Receive the Shipment Request Form: Receive shipment information from the CUS Department (product type, quantity, port of loading - port of discharge, expected shipment date)
- Prepare the shipment plan: Detailed plan for each shipment, supplier loading schedule, transportation schedule, QC schedule on the company system, and report to the direct manager.
- Enter the loading schedule information into the company system
- Check and prepare documents and paperwork according to the customer's special requirements: Logistics-related documents, such as third-party quality certificates such as COA: SGS, embassy stamp, etc.
- Work with FWD: Obtain quotations, obtain bookings, submit for approval, and handle arising issues. - - Prepare consolidated reports on international ocean freight costs.
- Contact shipping lines or FWDs to obtain quotations. Compare freight rates and vessel schedules between shipping lines to select the optimal option and submit for approval.
- Confirm Debit Notes with FWD
- Negotiate freight rates and surcharges (local charges, THC, DOC, etc.)
- Search for other suppliers (customs clearance services, raw materials, tools and equipment, etc.): Price, quality, service, and payment terms.
- Process and monitor Booking information
- Receive Booking from FWD. Check the information on the booking: container number, seal number, vessel departure date (ETD), port of loading/discharge, cut-off time
- Closely monitor any changes to the booking schedule and vessel schedule. Monitor vessel departure and arrival schedules (ETD/ETA)
- Send booking information to the transportation, temporary storage, and vessel transshipment staff to coordinate with the booking
- Handle arising issues
- Handle situations where bookings are canceled, vessels are rolled, or there is insufficient space
- Find alternative solutions: Change shipping line, change vessel, request cut-off time extension
- Resolve issues with shipping lines/depots
- Monitor booking status, approve orders, change empty container pick-up locations, etc.: Check whether there are any delays, cancellations, vessel changes, etc.
- Promptly notify relevant parties of any changes: Direct manager, transportation planning staff, CUS, etc.
- Control transportation costs
- Monitor fuel price fluctuations, propose increases/decreases when there are fluctuations, and calculate transportation costs for each route
- Supervise and control the QC team to ensure quality and packaging specifications comply with order requirements, handle arising issues and report to management during the loading process.
- Prepare reports for management.
B. Candidate Requirements:
- Graduated from a college or university in Business Administration, Economics, Logistics, or related fields.
- At least 2 year of experience in import-export operations at forwarding companies.
- Proficient in office computer skills.
- Ability to work in a team or independently and handle work pressure.
