The Personal Assistant (PA) to the Group Deputy CEO provides high-level, confidential administrative and coordination support to enable effective leadership, decision-making, and time management at the most senior level of the organization.
This role requires strong autonomy, sound judgment, exceptional organizational skills, and the ability to manage complex, sensitive matters with professionalism and discretion in a fast-paced, dynamic environment.
Job Description:
Key Responsibilities
Executive & Administrative Support
- Provide comprehensive, end-to-end administrative support to the Group Deputy CEO, operating independently with minimal supervision
- Manage complex calendars, diaries, and schedules, ensuring priorities are aligned and potential conflicts are proactively identified and resolved
- Prepare, review, and coordinate high-quality correspondence, reports, presentations, briefing materials, agendas, and meeting minutes using business software applications
Stakeholder & Meeting Coordination
- Coordinate senior leadership meetings, board-level sessions, and executive conferences, including logistics, materials preparation, minute-taking, and follow-up actions
- Act as a key point of contact between the Group Deputy CEO and internal/external stakeholders, ensuring timely, clear, and professional communication
- Screen and prioritize incoming calls, emails, visitors, and correspondence, exercising sound judgment on escalation and response
Event & Project Coordination
- Plan, coordinate, and support company events such as leadership offsites, internal townhalls, executive meetings, and key internal engagements
- Support ad-hoc projects and executive initiatives, ensuring timely execution and alignment with leadership expectations
- Travel & Logistics Management
- Arrange and manage global and domestic travel, including itineraries, visas, accommodation, ground transport, and expense coordination
- Anticipate travel-related needs and proactively address changes or disruptions
Confidentiality & Records Management
- Handle highly sensitive and confidential information with absolute discretion, integrity, and professionalism
- Maintain accurate records, files, documentation, and executive correspondence in line with company standards and governance requirements

Experience & Qualifications
- Minimum 4 years of experience in a Personal Assistant, Executive Assistant, or similar role
- Proven experience supporting C-suite or equivalent senior executives
- Experience in multinational, matrixed, or fast-paced corporate environments is strongly preferred
- High proficiency in Microsoft Office and business productivity tools (PowerPoint, Excel, Word, Outlook, collaboration platforms)
- Bachelor's degree or equivalent professional experience preferred
