The Personal Assistant provides comprehensive support to CBO by managing administrative tasks, coordinating internal and external communications, assisting in planning and executing sales activities, handling payment processes, and ensuring timely reporting.
This role combines executive assistance with sales administration to ensure smooth operations and effective collaboration across departments.
Responsibilities
- Executive Support: Assist CBO with daily tasks, manage calendar, organize travel, prepare reports/presentations, and handle confidential matters.
- Sales Administration: Manage sales materials, maintain and verify data accuracy, consolidate reports, remind sales team on deadlines, and support events.
- Payment & Expense Management: Prepare, submit, and track payments; monitor expenses; follow up on approvals.
- Coordination & Communication: Liaise between departments, prepare meeting minutes, and ensure timely follow-up.
- Compliance & Documentation: Ensure adherence to company policies and maintain confidentiality.
- Other Duties: Perform additional tasks as assigned by CBO
Qualifications
- Bachelor's degree or equivalent
- Minimum 3 years in executive assistant or administrative roles.
- Experience in sales support or customer service is an advantage.
- Excellent communication and presentation skills
- Strong organizational and multitasking abilities.
- Proficiency in MS Office applications, especially Excel and PowerPoint.
- Ability to handle sensitive information with confidentiality.
- Strong problem-solving skills and attention to detail.
- Basic understanding of sales processes and customer relationship management.
