Job Description

Job purpose:

The People Services Senior Associate is responsible for ensuring the accurate and efficient execution of payroll operations, Personal Income Tax (PIT), Social, Health and Unemployment Insurance (SHUI) administration, HRIS administration, statutory compliance, employee benefits administration, and HR reporting. Through effective process management, continuous improvement and responsive employee support, the role contributes to delivering a consistent employee experience while providing reliable operational support for the Company's reward programs and business objectives.

Job responsibilities:

1. Payroll & Reward Operations (50%)

  • Manage end-to-end monthly payroll processing accurately and on time.
  • Validate payroll-related data including attendance, overtime, leave, allowances, salary adjustments, employee movements and termination payments.
  • Process monthly incentive, commission, sales bonus and other reward payments according to approved policies.
  • Ensure payroll outputs comply with company policies and statutory regulations.
  • Coordinate payroll reconciliation, bank transfer files and payroll reports.
  • Support year-end payroll activities including PIT finalization, tax declarations and statutory submissions.

2. HR Compliance & Policy Administration (15%)

  • Support the review, update and implementation of HR policies, compensation guidelines and operating procedures.
  • Prepare HR documentation and reports for internal and external audits.
  • Maintain statutory records and ensure timely submission of required reports.

3. Reward & HRIS Project Support (15%)

  • Prepare compensation, payroll and headcount reports for management review.
  • Provide analytical and administrative support for Rewards initiatives and compensation-related projects.
  • Support regional and local HR digital initiatives: Participate in HRIS implementation, enhancement, testing and system deployment activities.

4. Process Improvement (10%)

  • Maintain compensation and payroll data within HRIS and related systems.
  • Identify opportunities to improve payroll and C&B processes through automation and system optimization.

5. Employee Support & Projects (10%)

  • Act as the primary contact for employee inquiries related to payroll, benefits, tax and compensation.
  • Provide guidance to employees on C&B policies and procedures.
  • Support cross-functional HR projects and Rewards initiatives as assigned.
  • Perform other duties assigned by the Line Manager.

Job Requirement:

  • Bachelor's degree in related disciplines
  • Minimum 5 years of experience in Reward or related practices, experience in retail industry is advantage
  • Good knowledge of payroll administration, Personal Income Tax (PIT), Social, Health and Unemployment Insurance (SHUI), and Vietnam Labor Law.
  • Strong analytical and problem-solving skills with attention to detail.
  • Demonstrated ability to work effectively within a matrix organization.
  • Strong communication in English, influencing and collaboration skills
  • Proactive, customer-oriented and committed to continuous improvement with a growth mindset.
