THE OPPORTUNITY
We are looking for a People Operations Associate to join our global HR team and be the heartbeat of our Vietnam office.
You will support the full employee lifecycle — attracting and hiring talent, onboarding new joiners, supporting payroll and compliance — while keeping the Ho Chi Minh City office running smoothly. Vietnam is your home base, but this is not a Vietnam-only role: you will also work across Singapore, Portugal and Switzerland on recruitment, shared HR processes and group-wide people initiatives.
This is a hands-on role where you will wear multiple hats, help shape our local people practices and culture, and be the trusted first point of contact for a growing international team. You will run some of it, support us on the rest, and learn all of it — which makes it a strong launchpad for someone early in their career who is genuinely passionate about people.
You will report to the People Operations Executive in Singapore for your day-to-day objectives, performance and development. Locally, you will work closely with our Chief Architect in Vietnam, who is your go-to for office-related matters on the ground.
KEY RESPONSIBILITIES
Recruitment & talent acquisition
- Manage end-to-end recruitment: post roles on local channels (VietnamWorks, TopCV, ITviec, LinkedIn), source candidates, and build a strong talent pipeline
- Screen CVs, coordinate interviews with hiring managers, gather feedback, and keep candidates engaged throughout the process
- Run the offer process — prepare offer letters, support negotiation, and ensure a smooth candidate experience
- Strengthen our local employer brand and maintain a talent pool and employee referral program
Onboarding & employee lifecycle
- Support the full range of onboarding documentation — labour contracts, background checks and compliance records required under ISO and internal policy
- Deliver a welcoming onboarding experience — workspace and account setup with IT, orientation, and introduction to our culture and policies
- Manage probation reviews, confirmations, contract renewals and the full offboarding process, including exit interviews and handovers
- Maintain accurate personnel records and keep the HR information system up to date
Payroll, compensation & benefits
- Support managers with monthly payroll inputs — new joiners, leavers, leave and allowances
- Support managers through annual performance reviews, promotions and bonus cycles
- Support salary benchmarking to keep our packages competitive in the local market
- Administer employee expense claims in line with internal process and policy
HR compliance & statutory (Vietnam)
- Support in administering compulsory insurance — social (BHXH), health (BHYT), and unemployment (BHTN) — including registrations, monthly declarations, and reconciliations
- Support in handling Personal Income Tax (PIT) withholding, year-end finalisation, and dependent registration
- Manage labor registration and reporting with local authorities (DOLISA) and keep policies aligned with the Labor Code
- Support work permits, visas, and temporary residence cards for foreign employees when needed
- Support with ISO related procedures and processes
Employee engagement & culture
- Be the first point of contact for employee questions, and support grievance and conflict resolution
- Organise team events and celebrations — Tet, year-end party, team building, birthdays and work anniversaries — that build a positive, inclusive culture
- Run engagement surveys and turn feedback into action alongside management
- Support the development and delivery of internal training and development programmes in close collaboration with line managers
Office administration & operations
- Manage day-to-day office operations — supplies, pantry, facilities, security and reception
- Oversee the office lease, vendors, utilities, equipment procurement and asset inventory in coordination with IT, Finance and HR
- Support Finance with invoices, expense claims, VAT (red) invoices and petty cash
- Coordinate business travel and act as the local liaison for colleagues, candidates and visitors travelling in from Singapore, Portugal, Switzerland and beyond
WHAT MAKES YOU STAND OUT

Experience
- Bachelor's degree in Human Resources, Business Administration or a related field
- 0–2 years of experience in an HR and/or admin role — strong internships count — ideally as a generalist covering both people and office operations
- Hands-on experience with Vietnam statutory processes (social insurance, PIT, labour contracts) is a plus
- Experience in a startup, tech or fast-growing international company is a strong plus
- Recruitment experience, especially hiring tech or professional talent, is highly valued
Skills & knowledge
- Solid working knowledge of the Vietnam Labour Code and local HR compliance requirements
- Comfortable with payroll, benefits administration, and HR / office systems and tools
- Good command of English, written and spoken, to work with an international team
- Native or fluent Vietnamese, for vendors, authorities and the local team
- Strong organisation and attention to detail, able to juggle many priorities at once
- Curiosity about AI tools is a plus — we use them daily
