Position Title: Payroll Officer

Reporting to: Senior Manager, Global Payroll (SMGP)

Direct Reports: N/A

Role Objectives: This position manages end to end payroll operations for the Moose Vietnam and Moose Far East entities, with responsibilities spanning labour budgeting, P&L labour analysis and monthly reporting.

Qualifications

Working collaboratively with global stakeholders, the role additionally supports the payroll processes for the US, Canada and Mexico each month, and contributes to Australia and Europe payroll tasks when required.Skills and Qualifications:

  • Tertiary qualifications in Finance or Accounting
  • Minimum 3 years experience in an Accounting/Payroll position
  • Good communication in English
  • Payroll experience (mandatory)
  • Intermediate to advanced Excel skills
  • Experience with accounting software. JD Edwards or EPM would be highly regarded.
  • Budgeting experience is preferred.
  • High level attention to detail and accuracy
  • Ability to communicate complex matters in a simple manner
  • High level analytical and critical thinking skills

Work Hours: Standard office hours:

8:30am 5:30pm, Monday to Friday, plus reasonable additional hours.

Responsibilities

Payroll Processing - Asia

  • Process monthly payroll for over 200 employees in Vietnam, Hong Kong and China in a timely and accurate manner:
  • Tracking and processing staff paid time off
  • Managing monthly payroll accruals
  • Preparing and entering payroll journals
  • Preparing monthly intercompany labour recharges
  • Monthly reconciliation of payroll data against the Human Capital Management system.
  • Year end reconciliations for employee tax finalization
  • Responding to staff payroll enquiries

Labour Budgeting - Asia

  • Provide a detailed financial year labour budget and forecast for the Moose Vietnam and Moose Far East entities, which will include salary and all payroll oncosts, by month, department and position.

Labour Analysis - Asia

  • Provide monthly labour analysis for the Moose Vietnam and Moose Far East entity.
  • Track labour performance to budget. Understand the drivers for variances to budget and follow up with stakeholders on any budget overages.
  • Identify and correct any coding errors from the monthly payroll journals.
  • Provide analysis and commentary to the SMGP for the monthly Board Report

Balance Sheet Review - Asia

  • Complete monthly reconciliations of payroll balance sheet accounts for the Moose Vietnam and Moose Far East entities, validating month-end payroll account balances.

Payroll Support US, Canada & Mexico

  • Working closely with the US People & Culture, and Finance team, this position will provide assistance to process the bi-monthly payroll for the US, Canada and Mexico entity. Including:
  • Tracking employee deductions and reimbursements and entering into the payroll system
  • Following up managers for timesheet and leave approvals
  • Assisting with payroll calculations
  • Maintaining staff employment and personal data in the payroll systems.
  • Maintaining register of staff paid time off
  • Preparing payroll accruals and journals
  • Assisting with staff payroll enquiries.
  • Reconciliation of employee health insurance enrolments and invoices from health insurance providers.
  • Monthly reconciliation of data in the US, Canada and Mexico payroll systems to the Waterhole.

Ad hoc tasks

  • Assist external auditors on payroll queries.
  • Provide back-up and support to the Payroll Officer (Aus & Eur) where required.
  • Other ad-hoc tasks/projects as required from time to time.
