1. Job Purpose

To coordinate and manage export shipments from factories to customers, ensuring on-time delivery, accurate documentation, compliance with customer requirements, and smooth logistics operations throughout the supply chain.

2. Key Responsibilities

Shipment Coordination & Logistics

  • Manage export shipment schedules for multiple customers, including bulk orders and sample shipments (SMS).
  • Coordinate with Merchandising, Planning, Factories, Forwarders, and related departments to ensure shipment readiness.
  • Arrange bookings with shipping lines, airlines, and logistics providers.
  • Monitor factory readiness, container loading schedules, and shipment milestones.

Shipping Documentation & Customs Support

  • Prepare, verify, and maintain shipping documents, including Packing Lists, Commercial Invoices, Bills of Lading (BL), Air Waybills (HAWB), and related export documents.
  • Coordinate the issuance of Certificates of Origin (C/O) and supporting documents.
  • Follow up customs-related documentation and ensure compliance with export requirements.

Shipment Tracking & Customer Coordination

  • Update shipment status, ETD/ETA, and delivery progress to internal teams and customers.
  • Monitor shipments until final delivery to customer warehouses.
  • Manage shipment updates through ERP systems and customer platforms.
  • Handle shipment advice and customer communication regarding shipment status.

Post-Shipment Management

  • Process post-shipment documentation and invoice submission.
  • Track and follow up shipped cargo until receipt at customer warehouses.
  • Support handling shipment discrepancies, claims, delays, or related logistics issues.

Cost Control & Reporting

  • Support logistics cost optimization through shipment consolidation and freight evaluation.
  • Prepare monthly freight and logistics cost forecasts.
  • Generate shipment and logistics reports as required by management.

Contract & System Administration

  • Support export contract processing and document management.
  • Maintain accurate shipment records in ERP and customer systems.
  • Ensure all shipment data is updated accurately and timely.

Other Duties

  • Perform other tasks assigned by the Line Manager.

3. Job Requirements

Education & Experience

  • Bachelor's degree in Logistics, Supply Chain Management, International Business, Import-Export, or related fields.
  • Experience in export logistics or garment manufacturing is preferred.
  • Experience working with international customers is an advantage.

Skills & Knowledge

  • Good knowledge of Incoterms, export procedures, and shipping documentation.
  • Familiarity with ERP systems and customer platforms (e.g., Setlog, TXT, WFX, etc.).
  • Strong planning, coordination, and time management skills.
  • Strong attention to detail and data accuracy.
  • Good problem-solving skills and ability to work under pressure.
  • Proficient in Microsoft Office, especially Excel.

Language

  • Good English communication skills, both written and verbal.

5. Working Time & Location

  • Working hours: 8:00 AM – 5:00 PM, Monday to Saturday (1-hour lunch break)
  • Days off: 2 Saturdays off per month
  • Location: Evolution Enterprises Co., Ltd – 63C Lo Lu, Long Phuoc Ward, Thu Duc City, HCMC
