Role summary
The Order Fulfillment Specialist owns the end-to-end order and delivery process for Gogoro Vietnam (GVN) — coordinating the flow of scooters, batteries and spare parts from the manufacturer (Hanoi) through to partners and the end customer. The role spans order management, logistics and shipment coordination, import and customs documentation, inventory control, and delivery tracking, ensuring accurate, on-time fulfilment while keeping the intercompany flow (manufacturer to GVN to partners) compliant and well documented.
Key responsibilities
- Order management — receive, process and track orders from partners and supplier; maintain order accuracy, confirmations and status visibility from placement through to delivery.
- Material planning & control— translate orders, forecasts and production plans into material requirements; monitor material availability, delivery schedules and shortages; and coordinate with suppliers and the manufacturer to ensure materials are available to support production and shipment schedules.
- Logistics & shipment coordination — plan and coordinate shipments from manufacturer (Hanoi) to HCMC/partners; manage freight forwarders and third-party logistics (3PL) partners; schedule deliveries to meet required dates.
- Delivery & fulfilment tracking — monitor deliveries end-to-end; proactively resolve delays, shortages, damages and discrepancies; manage returns / RMA and replacements.
- Import, customs & documentation — prepare and manage delivery notes, packing lists, customs declarations and HS-code classification; coordinate VAT e-invoicing; ensure compliance with Vietnam import/export and trade regulations.
- Inventory management — track and reconcile stock of finished scooters, batteries and spare parts across warehouse/3PL; monitor levels to avoid stock-outs and overstock; run cycle counts and stock reconciliation.
- Intercompany flow — operate the manufacturer to GVN to partners order and delivery flow; align dispatch, invoicing and goods receipt with Finance and the manufacturer.
- Cross-functional coordination — work with QA (product release), Finance (invoicing and payment), manufacturer (production and dispatch), partners (sales and operations) and logistics partners to keep fulfilment on track.
- Systems & reporting — maintain accurate fulfilment and inventory data in the SAP of record; report KPIs such as on-time, order cycle time and fulfilment accuracy.
- Process set-up — help establish fulfilment SOPs as per GTW SOP & define delivery processes during the GVN entity set-up phase.
Required qualifications
- Bachelor's degree in Supply Chain, Logistics, Business Administration or a related field.
- Have a Customs Declarant License (Mandatory as per Vietnam Guidelines)
- 2-5 years of experience in order fulfilment, logistics, supply chain or import–export operations, ideally in automotive, EV, manufacturing or distribution.
- Working knowledge of Vietnam import/export procedures, customs, HS codes and VAT e-invoicing.
- Hands-on experience with any ERP / inventory-management systems.
- Strong coordination, organisation and attention to detail, with a problem-solving, delivery-focused mindset.
- Languages (mandatory): professional Vietnamese and English; Mandarin Chinese is a strong advantage for coordination with manufacturer and Gogoro HQ.
Preferred / desirable
- Experience managing third-party logistics (3PL) and freight-forwarding partners.
- Familiarity with the electric-mobility, e-scooter or battery-swapping sector.
- Awareness of battery / dangerous-goods handling and transport requirements.
- Experience setting up fulfilment processes for a new entity or market.
