About Pixel
Pixel is a U.S.-based creative agency working with leading consumer electronics and challenger brands. We're looking for a Part-Time Operations & Project Coordinator to help keep our Vietnam studio, projects, and people running smoothly.
You love keeping things organized, connecting the dots, and turning moving pieces into a clear plan. You'll work closely with the Head of Pixel Vietnam across projects, hiring, production, vendors, and studio operations, helping keep everything on track and one step ahead.
What You'll Do
Project Coordination (60%)
- Keep projects, timelines, deliverables, and next steps organized across the Vietnam and U.S. teams.
- Follow up with team members and vendors to make sure deadlines don't quietly become suggestions.
- Help prepare briefs, organize feedback, schedule meetings, and maintain project documentation.
- Flag blockers early and help figure out what needs to happen next.
- Source and coordinate production houses, photographers, studios, talent, freelancers, and other vendors based on project needs.
- Request and compare quotes, availability, portfolios, and scopes.
- Help coordinate shoot logistics, schedules, deliverables, and communication between Pixel and production partners.
- Keep vendor information organized so we don't have to rediscover the same people twice.
Operations & Administration (40%)
- Support day-to-day studio operations, documentation, invoices, scheduling, purchases, and other administrative needs.
- Research solutions when something needs to get done and there isn't already a playbook.
- Help build simple systems and processes as the Vietnam team grows.
- Help prepare presentations and reports.
- Support recruiting coordination when needed.
- Handle miscellaneous operational tasks that keep the business running smoothly.

- Have strong written communication skills.
Requirements
- 3–5 years of experience in project coordination, operations, executive assistance, or administrative roles.
- Strong English (written and verbal).
- Comfortable using Google Workspace.
- Experience with project management tools such as Asana, Notion, ClickUp, Monday.com, or Teamwork is a plus.
- Available to overlap a few hours with the US team when needed.

- Projects move smoothly with minimal follow-up.
- Deadlines are rarely missed.
- Team members always know the latest project status.
- Documentation stays organized and current.
- The leadership team spends less time chasing updates and more time making decisions.
