Operations Specialist Vietnam (Prefer Chinese Speaker)

Location: Ho Chi Minh City

Job Description

We are seeking a detail-oriented and proactive Operations Specialist based in Ho Chi Minh City to support order fulfilment, spare parts coordination, and daily operational administration for the Vietnam market, while also providing regional support to Southeast Asia where required. This role plays a key part in ensuring smooth logistics execution, accurate inventory control, and efficient cross-team coordination.

Key Responsibilities

  • Coordinate end-to-end order processing, shipment preparation, and delivery arrangements for Vietnam customers and regional projects.
  • Manage spare parts inventory, including stock monitoring, replenishment coordination, and warehouse documentation.
  • Prepare, review, and maintain shipping documents, invoices, and operational records in compliance with Vietnam import/export and local regulations.
  • Liaise with logistics providers, freight forwarders, suppliers, and internal teams to ensure timely dispatch and accurate delivery tracking.
  • Maintain and update order management systems, inventory databases, and operational reports with high accuracy.
  • Support after-sales operations, including spare parts shipment, returns processing, and service-related documentation.
  • Assist with general administrative and operational tasks such as data entry, filing, and coordination with the local office.
  • Provide operational support to cross-functional teams (sales, service, finance), contributing to process optimisation and continuous improvement.

Qualifications

  • Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or a related field.
  • 13 years of experience in operations, logistics coordination, order management, or administrative support roles.
  • Familiarity with Vietnam import/export procedures, customs processes, and local logistics regulations is a plus.
  • Strong organisational, communication, and time-management skills with a high level of attention to detail.
  • Proficient in Microsoft Office and basic ERP / order management systems.
  • Self-motivated, responsible, and able to work independently in a fast-paced, multi-tasking environment.
  • Fluent in Vietnamese and English; ability to communicate in Chinese (Mandarin) is required.
