Key Responsibilities
Talent Acquisition
- Manage the end-to-end recruitment process, including job posting, candidate sourcing, CV screening, interview coordination, candidate communication, offer preparation, and pre-onboarding follow-up.
- Work directly with Management to understand hiring needs, position requirements, and suitable candidate profiles.
- Maintain an active candidate pipeline and support recruitment planning based on business priorities.
- Ensure a professional and positive candidate experience throughout the recruitment process.
- Maintain and update recruitment records, candidate databases, and hiring reports.
Employee Lifecycle & People Operations
- Manage employee lifecycle activities, including onboarding, probation follow-up, contract renewal, internal transfers, role changes, promotions, and offboarding.
- Coordinate orientation and onboarding activities to help new employees understand the company, internal systems, policies, workplace practices, and culture.
- Monitor probation periods, contract expiry dates, employee changes, and other important HR timelines.
- Prepare and manage employment contracts, contract amendments, official letters, employee decisions, and other HR-related documents.
- Maintain accurate and confidential employee records, personnel files, and HR data.
- Support the implementation and improvement of people-related policies, procedures, and internal processes.
Culture, Engagement & Employee Experience
- Develop and implement People & Culture initiatives aligned with company values and business objectives.
- Plan and coordinate employee engagement activities, including Happy Hours, team-building programs, employee recognition, celebrations, and internal events.
- Create initiatives that strengthen connection, collaboration, inclusion, accountability, and a sense of belonging across the organization.
- Collect employee feedback through surveys, discussions, and engagement activities to identify areas for improvement.
- Act as a point of contact for employees regarding workplace concerns, company policies, benefits, and general people-related matters.
- Work with Management to address employee concerns and improve the overall employee experience.
- Promote a culture of professionalism, integrity, compliance, continuous learning, and performance improvement.
Internal Communication
- Develop and manage internal communication plans to improve information sharing, employee connection, and organizational alignment.
- Prepare and publish regular internal newsletters featuring company updates, team achievements, employee stories, upcoming activities, and important announcements.
- Coordinate company-wide meetings, All-hands Meetings, Town Hall sessions, internal sharing sessions, and employee engagement meetings.
- Create internal communication content that supports culture-building and strengthens connection between Management and employees.
Payroll, Benefits & HR Administration
- Process monthly payroll accurately, including salaries, attendance, overtime, allowances, deductions, incentives, commissions, and bonuses, where applicable.
- Maintain and verify attendance records, leave balances, payroll data, and employee changes before each payroll cycle.
- Prepare monthly payroll reports and supporting documents for review and approval.
- Handle procedures related to Social Insurance, Health Insurance, Unemployment Insurance, and Personal Income Tax in accordance with applicable regulations.
- Ensure payroll information and confidential employee data are managed accurately and securely.
- Stay updated on relevant labor, payroll, insurance, and tax regulations to ensure compliance.
Office Administration & Operational Support
- Support daily office operations to maintain an organized, professional, and efficient working environment.
- Manage office supplies, equipment, facilities, and other administrative resources.
- Coordinate with external vendors and service providers and monitor administrative expenses.
- Support the arrangement of internal meetings, company events, employee activities, and business travel when required.
- Maintain administrative, HR, and operational documents in accordance with company procedures and record-retention requirements.
- Support other Culture & People, payroll, administrative, and operational tasks based on business needs.
Requirements
- Bachelor's degree in Human Resources Management, Business Administration, Management, Communications, or a related field.
- At least 2 years of experience in Human Resources, People Operations, Talent Acquisition, Internal Communication, or a related position.
- Practical experience in recruitment, employee lifecycle management, payroll, social insurance, and HR administration.
- Good knowledge of Vietnam labor laws, Social Insurance regulations, Personal Income Tax, and employment practices.
- Strong communication, interpersonal, and employee engagement skills.
- Ability to create internal communication content, newsletters, announcements, and employee engagement materials.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Detail-oriented, responsible, proactive, and able to handle confidential information professionally.
- Comfortable working independently and directly with Management and employees.
- Good command of Microsoft Office or Google Workspace; experience with HRIS, attendance, payroll, or internal communication platforms is an advantage.
- Good written and verbal communication skills in English are preferred.
