We are seeking a highly organized and proactive Office Assistant to support daily operations at CES Vietnam. This onsite role involves administrative management, Associate Cares (HR) support, and recruitment assistance while collaborating with the U.S. Associate Care team. The ideal candidate has experience in a global company, excels in office administration, associate records management, and recruiting, and possesses strong bilingual proficiency in English and Vietnamese.
Responsibilities
Office Administration
- Manage office paperwork (expense reports, insurance, leases, security policies).
- Track Paid Time Off (PTO), holidays, and sick leave.
- Maintain files, databases, and office supplies.
- Sort and send mail, schedule meetings, and manage calendars.
- Organize office events, business travel, and visitor accommodations.
- Ensure office equipment is maintained.
Associate Care (HR) & Recruitment Support
- Maintain and update Associate records.
- Assist with leave tracking and expense reimbursements.
- Handle confidential information professionally.
- Support recruitment efforts (resume screening, interview coordination, candidate tracking).
Qualifications
- Associate's degree or higher in Business Administration, Human Resources, or a related field.
- 3+ years experience in an administrative role, office assistant and/or HR Assistant role in a global company.
- Fluent in both written and spoken English and Vietnamese, with strong business communication skills in both languages.
- Proficiency in using ATS software, and MS Office (Word, Excel, PowerPoint, and Outlook).
- Experience with social media platforms such as LinkedIn.
- Strong organizational, communication, and interpersonal skills.
- Ability to handle sensitive information with discretion.
