We are looking for a Marketing Coordinator (Event Operations) to support the execution of events and community programs, ensuring smooth operations, accuracy, and compliance across multiple activities.
Responsibilities
- Coordinate event operations end-to-end, including logistics, documentation, contracts, and financial tracking across multiple concurrent events.
- Proactively collaborate with cross-functional teams in a global environment, working closely with Marketing, Sales, and Event stakeholders to ensure operational readiness and alignment.
- Maintain accurate records across event materials, contracts, attendee lists, and documentation with proper version control.
- Produce event collateral including name badges, certificates, and CPD documentation using mail merge tools and approved templates.
- Support financial administration tasks such as consolidating quotations, tracking invoices, payments, and maintaining budget trackers (Excel-based).
- Ensure data accuracy and integrity across systems (Excel trackers, CRM, reporting tools).
- Work within structured approval, legal, and compliance processes, ensuring all activities meet required standards.
- Support content publishing and event-related updates using CMS tools and predefined templates.
- Assist in reporting and tracking event performance using internal tools (e.g. dashboards, Power BI if applicable).
- Manage multiple events simultaneously with strong organization and prioritization.
Requirement
Must have:
- 2+ years of experience in marketing coordination, event operations, administration, or similar roles.
- Proven experience supporting event or program operations (logistics, documentation, vendor coordination).
- Strong organizational skills with high attention to detail and ability to manage multiple tasks/processes accurately.
- Experience in financial administration (quotes, invoices, payments, and budget tracking using Excel).
- Strong proficiency in Microsoft Excel (essential) and good working knowledge of Microsoft Office (Word, PowerPoint, Outlook).
- Good English communication skills, with ability to work effectively with Australian clients and stakeholders in a remote setup.
- Ability to work independently, follow structured processes, and ensure disciplined execution.
Nice to have:
- Experience working in a corporate, professional services, or international environment.
- Familiarity with systems such as Dynamics 365 (CRM/Marketing/Events).
- Experience using Atlassian tools (Jira, Confluence) for task and documentation management and Power BI or similar tools for reporting and tracking, CMS platforms (Umbraco) for content publishing, mail merge tools or similar event materials (badges, certificates, etc.).
- Openness to adopting AI-assisted tools to improve operational efficiency and manage workload across multiple concurrent tasks.
