JOB OVERVIEW:
The Marketing Admin Officer provides comprehensive administrative and coordination support to the Marketing Director and the Marketing Department to ensure the smooth execution of marketing operations. This role plays a critical role in managing documentation, budgets, approvals, reporting, and cross-functional coordination to enhance overall marketing effectiveness.
SCOPE OF RESPONSIBILITIES:
1.Marketing Administrative
- Provide full administrative support to the Marketing Director in daily operations.
- Track & file all marketing documents: contracts, proposals, and approval forms,...
- Handle internal marketing communications, meeting minutes, presentation materials.
- Coordinate meeting schedules, calendars, and travel arrangements (if required).
2.Budget & Financial Coordination
- Prepare payment requests, PR/PO, DO, and coordinate with Finance & Procurement for timely processing.
- Control and update marketing cost trackers, budget utilization reports, and expense reconciliations.
3.Marketing Operations & Project Coordination
- Coordinate with external agencies, suppliers, and service providers on administrative.
- Follow up on deadlines, deliverables, and approvals of some projects of Marketing.
4.Data Management
- Maintain databases for marketing materials, gifts, POSM, assets, and vendor records.
- Support data consolidation for brand performance reviews and business presentations.
5.Compliance & Process Control
- Ensure all marketing activities follow internal policies, brand guidelines, and approval procedures.
- Coordinate with Legal for contract preparation and compliance checks when required.
- Ensure proper control of marketing documents, approvals, and audit readiness.
6.Other Duties
- Support special marketing projects as assigned by the Marketing Director.
- Perform other ad-hoc tasks related to marketing administration and operations as required.
What are the Qualifications
- Bachelor's degree in Business Administration, Marketing, Economics, or related fields.
- Minimum 24 years of experience in administrative roles, preferably in Marketing, Sales, or FMCG environment.
- Good understanding of marketing operations, budgeting, and internal control processes is an advantage.
- Strong organizational, coordination, and time management skills.
- High attention to detail, accuracy, and sense of responsibility.
- Good communication and interpersonal skills.
- Familiar with SAP system is a plus.
- Proficient in Microsoft Word, Excel, PowerPoint, Power BI.
- Fair English communication (written & spoken).
