The Opportunity
As Finance Assistant Manager – Vietnam, you will be the main point of contact for finance and administration on the ground, with ownership of the accounting, reporting, compliance, and control environment for the Vietnamese entity. You will operate at the intersection of local statutory requirements and group financial standards, serving as the primary finance interface between Vietnam and the regional leadership team.
Beyond finance, the role covers general administration for the Vietnamese entity, acting as the single point of contact for office management, vendor relationships, and operational support functions until dedicated resources are in place.
This is a hands-on role — you will both set up the processes and execute them — requiring someone comfortable working with minimal support infrastructure while maintaining the rigor expected of a listed-group subsidiary. As the Vietnamese operations scale, this role is expected to evolve accordingly, with the opportunity to recruit and lead a local finance and administration team over time.
The Responsibilities
- Own the full accounting cycle under Vietnamese Accounting Standards (VAS), ensuring timely and accurate books for both HCMC and Hanoi, working in close coordination with the appointed external accounting firm.
- Prepare and submit monthly, quarterly, and annual IFRS reporting packages.
- Manage the chart of accounts, accounting policies, and documentation standards in line with group requirements.
- Support the group consolidation process, including timely response to group finance queries.
- Own the end-to-end billing cycle for all client contracts: ensure invoices are issued accurately and on time in accordance with contractual terms.
- Monitor accounts receivable, follow up on overdue balances, and escalate collection issues to the Vietnam COO and Vietnam & Indonesia CFO as appropriate.
- Ensure revenue is recognised in compliance with IFRS 15, including proper identification of performance obligations, allocation of transaction prices, and timing of recognition.
- Maintain a contract and billing register for all client agreements, tracking key billing milestones, rate changes, and renewal dates.
- Liaise with the operations team to ensure headcount, volume, and service delivery data feeding into billing is accurate and reconciled monthly.
- Provide financial analysis and reporting to support the Vietnam COO's operational decisions, with a focus on translating financial data into actionable insight.
- Own the monthly cost reporting framework: monitor key cost drivers, flagging variances and trends to the Vietnam COO and Vietnam & Indonesia CFO.
- Track revenue per FTE and contribution margin at the contract or client level, identifying underperforming accounts or billing gaps for management attention.
- Lead the annual budget and quarterly reforecast process for the Vietnamese entity, consolidating inputs from operations and aligning with group planning timelines.
- Prepare a monthly finance and operations dashboard for local and regional leadership, combining financial results with key operational metrics.
- Flag financial risks, compliance issues, or cost overruns proactively to regional leadership, with a recommended course of action where possible.
- Oversee full local tax compliance, working in close coordination with the appointed external tax firm.
- Review and sign off on tax filings prepared by the tax firm; own the relationship and ensure deadlines are met.
- Oversee transfer pricing compliance under Vietnamese regulations, coordinating with the external tax firm on annual disclosure filings and local documentation, and ensuring intercompany transactions are aligned with group TP policy.
- Monitor changes in Vietnamese tax and accounting regulation and assess impact on the entity.
- Manage mandatory statistical and regulatory reporting (e.g. MPI, SBV, etc).
- Execute day-to-day banking transactions via the group's local banking relationship.
- Manage cash flow forecasting and working capital monitoring, reporting positions to the Vietnam & Indonesia CFO.
- Coordinate with the regional finance function on intercompany funding, FX exposure, and cash repatriation.
- Own the relationship with the external payroll provider; review and validate monthly payroll runs and social insurance contributions.
- Ensure accurate payroll accounting and cost allocation between locations and cost centres.
- Act as the primary local coordinator for the group statutory audit; prepare audit files, liaise with the group auditor, and manage the audit timeline.
- Design and implement internal control procedures appropriate for a start-up entity operating within a listed-group framework.
- Support any internal audit or group compliance reviews as required.
- Manage day-to-day office operations across HCMC and Hanoi, including facilities, supplies, and relationships with building management and service providers.
- Oversee procurement of office goods and services; negotiate and manage contracts with local vendors below a defined group threshold.
- Act as the primary internal contact for IT support coordination, liaising with the group IT function for equipment provisioning, onboarding/offboarding logistics, and incident escalation.
- Review and provide first sign-off on standard vendor and supplier contracts (services, leases, maintenance), escalating non-standard terms or above-threshold commitments to regional legal or the Vietnam & Indonesia CFO.
- Coordinate with the HR function (regional or outsourced) on local administrative aspects of onboarding, offboarding, and employee records maintenance.
- Ensure business insurance coverage is in place and renewed in line with group requirements.
The Qualifications
- 5-7 years of progressive finance experience, with solid exposure to both VAS and IFRS reporting.
- Prior experience in a multinational or listed-group environment required.
- Background in BPO, technology services, or professional services is an advantage.
- Prior experience in a Finance & Administration or Finance & Operations role within a multinational subsidiary is a strong advantage, particularly in a start-up or greenfield context.
- Experience setting up or running a finance function with limited team support; comfortable being the sole finance and administration resource.
- Strong command of Vietnamese Accounting Standards (VAS) and working knowledge of IFRS.
- Hands-on experience with Vietnamese tax compliance (CIT, VAT, WHT, FCT) and familiarity with transfer pricing disclosure requirements.
- Proficient in ERP or accounting systems (experience with D365 is a plus).
- Advanced Excel; ability to build and maintain reporting templates, billing reconciliations, and operational dashboards.
- Vietnamese: native / fluent.
- English or French: professional working proficiency required for group reporting and communication with regional leadership.
- High degree of autonomy and ownership mindset — able to cover both finance and general administration without a local team, and escalate appropriately to regional functions.
- Detail-oriented with strong process discipline; able to implement controls in an informal environment.
- Effective communicator with regional stakeholders; comfortable in a matrix reporting structure.
- Adaptable and pragmatic; able to prioritise across a broad remit in a fast-changing, start-up-like context within a corporate framework.
- Ambition to grow into a team leadership role as the business scales; prior experience managing junior finance or administration staff is an advantage but not a requirement at this stage.
