Role Summary
The Logistics Manager is responsible for managing the end-to-end execution, coordination, and visibility of international shipments from factories to company-owned and third-party distribution centers across the U.S., Canada, and Europe, as well as DDP customer-direct shipments.
This role oversees shipment planning, booking, milestone tracking, OSCA compliance, documentation, exception management, and communication with carriers, freight forwarders, suppliers, and internal stakeholders. The position ensures shipments are executed accurately, on time, and in compliance with customer, retailer, and regulatory requirements while supporting cost-efficient transportation and high service standards across multiple regions.
Key Responsibilities
1. Distribution Center Shipments
- Coordinate outbound shipments to company-owned and third-party distribution centers across the U.S., Canada, and Europe.
- Ensure shipments meet required delivery windows, routing guide instructions, and DC receiving requirements.
- Monitor shipment progress and proactively address potential service issues.
2. DDP Customer-Direct Shipments
- Manage end-to-end Delivered Duty Paid (DDP) customer-direct shipments, including booking, transportation, customs clearance, and final delivery.
- Ensure carriers and logistics partners comply with DDP requirements covering duties, taxes, customs brokerage, and final-mile delivery.
- Provide accurate shipment tracking, exception updates, and proof-of-delivery information through the appropriate communication channels.
3. Order Tracking & Shipment Visibility
- Monitor orders from factory confirmation through shipment and delivery to the designated port or destination.
- Maintain accurate shipment information and milestone visibility through OSCA and related tracking systems.
- Track key milestones such as booking, cargo pickup, port delivery, and shipment status.
- Maintain shipment visibility dashboards and prepare weekly KPI reports.
- Identify delays or risks early and coordinate recovery plans with carriers, forwarders, factories, and cross-functional teams.
4. Booking & Shipment Execution
- Ensure shipments are booked on schedule and aligned with daily and weekly transportation plans.
- Coordinate carrier capacity, consolidation opportunities, and transit-time requirements to support on-time performance.
- Monitor factory cargo readiness and proactively identify risks against requested Cargo Ready Dates (CRD).
- Work with freight forwarders to secure timely bookings based on Requested Delivery Dates (RDD).
- Review and validate shipping documentation, including commercial invoices, packing lists, ASN/FSN submissions, and customs-related documents.
5. OSCA Portal Management
- Manage OSCA activities and ensure compliance with required shipping processes, including:
- Shipping window compliance
- Document uploads
- ASN/FSN accuracy and compliance
- Exception management and resolution
- Provide guidance and training to vendors and suppliers on OSCA processes when required.
- Ensure shipment data and milestones are updated accurately and on time.
6. Process Improvement & SOP Management
- Identify opportunities to improve logistics processes, reduce cycle times, and optimize transportation costs.
- Develop, maintain, and update SOPs covering domestic, Canada, Europe, and DDP shipping processes.
- Support logistics audits, carrier scorecards, and vendor compliance programs.
- Assist with duty recovery, first-sale invoice programs, and other trade compliance initiatives as applicable.
- Support carrier performance reviews and quarterly business reviews (QBRs).
- Contribute to transportation cost-control initiatives and resolve freight invoice discrepancies.
Qualifications
- 5+ years of experience in logistics, transportation, supply chain, or a related field.
- Hands-on experience with DDP shipments and international shipping documentation.
- Familiarity with TMS platforms, retailer portals, OSCA, or similar supply-chain visibility systems.
- Experience managing multiple carriers, freight forwarders, and transportation modes.
- Strong communication and coordination skills with carriers, distribution centers, suppliers, vendors, and customers.
- Advanced Microsoft Excel skills, including PivotTables, VLOOKUP/XLOOKUP, data analysis, and reporting.
- Fluent in English; Mandarin is an advantage.
