Position Summary:

Growlab is seeking an experienced and meticulous Logistics Coordinator to manage the complete logistics lifecycle for our high-quality coconut seedlings. This critical role involves coordinating the movement of fragile, time-sensitive live plant shipments from our lab and greenhouse facilities to final destinations, including domestic transferand international export(initially to the Philippines, with future expansion to Hainan, Indonesia, and Malaysia). The primary responsibility is ensuring the safe, compliant, and timely deliveryof our seedlings while expertly managing all required documentation.

Working location:Growlab Laboratories (No. 40 Street 39, Van Phuc Residential Area, Hiep Binh Ward, HCMC)

Salary range:Upon negotiation

Key Responsibilities:

End-to-End Shipment Management:Plan, execute, and monitor all domestic and international freight operations, selecting the most suitable carriers and routes for live, perishable plant material.

Documentation and Compliance:

-Create, compile, and manageall necessary shipping documentation, including commercial invoices, packing lists, booking confirmations, and domestic transport permits.

-Expertly handle export documentation, particularly those required for phytosanitary compliance(e.g., Phytosanitary Certificates), adhering to the specific import regulations of target countries (Philippines, Hainan, Indonesia, Malaysia).

-Ensure strict compliance with customs regulationsand quarantine requirementsin both the country of origin and destination.

Logistics Coordination:

-Coordinate pickup schedules from the greenhouse with carrier schedules, ensuring minimal transit time to preserve seedling viability.

-Track and trace shipments proactively, providing regular updates to internal stakeholders.

-Manage relationships with carriers, customs brokers, and third-party logistics providers.

Quality Assurance:Collaborate closely with the Greenhouse/Lab teams on proper packaging, labeling, and handling protocols specific to live coconut seedlings to mitigate transit damage and stress.

Rate Negotiation and Cost Control:Secure competitive freight rates and optimize shipping costs without compromising speed or reliability.

Problem Resolution:Act as the primary point of contact for all shipment-related issues (delays, damages, documentation queries) and implement swift, effective resolutions.

Qualifications:

Proven experienceas a Freight Forwarder, Logistics Coordinator, or in a similar role managing international shipments.

Demonstrated expertise in export documentation and customs procedures, with a strong preference for experience handling perishable goods, agricultural products, or live plants.

In-depth knowledge of Phytosanitary Certificate requirementsand international plant health regulations.

Familiarity with the specific import/export logistics and documentation requirements for Southeast Asian markets(Philippines, Indonesia, Malaysia) is a significant advantage.

Exceptional organizational skills and meticulous attention to detail, especially when collating critical paperwork.

Strong negotiation, communication, and problem-solving abilities. English speaker is a must.

Proficiency with logistics software, tracking systems, and standard office applications.
