About The Opportunity
On behalf of our
client, we are hiring a
Billing and Legal Administration Executive to support their legal and operations teams. Our client is a prestigious international law firm with a strong presence in Vietnam, providing top-tier legal and corporate services.
Joining the team as a Billing and Legal Administration Executive, you will act as a central coordinator managing financial tracking and administrative functions. You will ensure the smooth operational workflow of the firm by working closely with the Managing Partner, lawyers, and business support teams.
Key Responsibilities
- Assist with billing coordination and the monthly billing process, including preparing debit notes for Partner review.
- Coordinate with lawyers regarding time entries, disbursements, and billing information, ensuring the timely issuance of invoices.
- Assist with tracking receivables, payment status, client billing queries, and general finance administration.
- Support onboarding logistics for new staff and coordinate with vendors regarding office supplies.
- Provide administrative and secretarial support to Partners and lawyers, including scheduling meetings and formatting legal documents/correspondence.
- Assist with organizing internal events, training sessions, and administrative support for business development initiatives.
RequirementsTechnical Skills
- Excellent written and verbal communication skills in English (Crucial for direct collaboration with international Partners).
- Bachelor's degree in Business Administration, Finance, Law, Accounting, or a related field with a strong academic record.
- 2-3 years of experience in billing, accounting, or administrative/legal secretarial work, preferably within a law firm or professional services environment.
- Experience with the preparation of bills is a strong advantage.
- Proficiency in Microsoft Office applications, including Word, PowerPoint, and Excel.
Soft Skills
- Proactive and direct communication style; ability to handle clarifications and resolve issues in real-time without relying heavily on third parties.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Ability to work independently, manage multiple deadlines, and maintain strict confidentiality.
