Reports to: Project Manager (with day-to-day support to Design Manager and Quantity Surveyor across active projects)
A. About Connecty
Connecty is a Vietnam-based project management firm delivering construction and interior fit-out for global brands such as Apple, Chanel, Gucci, and Marriott. Over 100 projects, USD 20M+ portfolio, headquartered in Ben Thanh Ward.
B. About This Role
You'll be embedded in active client projects, working directly alongside Project Managers, Design Managers. Your job is to make sure project paperwork is organized, financial tracking is accurate, deliverables are followed up on time, and the senior team can focus on client work instead of admin. The role suits someone who likes structure, is comfortable with numbers, and enjoys being the person who knows where everything is.
A design or construction background is a plus — you'll learn how iconic interior fit-out projects actually run, from inside the team.
C. About your scope:
Your week, across active client projects:
- Document control — maintain organized folders for every active project: contracts, quotations, drawings, payment requests, inspection reports, supplier submissions. Version-control everything. Anyone can find any document in under 2 minutes.
- Paperwork preparation — prepare contracts for signature, quotation templates for the QS, payment request forms, supplier invoice packages for the accountant. Pre-fill what you can; route what needs sign-off.
- Data extraction & reporting — build and update project status reports, extract data for monthly client updates and internal PM reviews. Turn raw project data into clear tables and one-page summaries.
- Deliverable follow-up — chase suppliers and subcontractors for outstanding submissions (shop drawings, samples, certificates). Track upcoming milestones, escalate slips to the PM before they become problems.
- Meeting support — prepare meeting agendas, take minutes, circulate within 24 hours, track action items across weeks until they close.
D. Objectives:
- Every active project has up-to-date budget tracking, accessible by the PM.
- Project documents are organized — nobody on the team asks where is that contract / drawing / receipt anymore.
- Meeting minutes circulate within 24 hours of every project meeting, with named owners on action items.
- Suppliers and subcontractors meet their submission deadlines because you follow up consistently.
- Monthly project reports go to clients on time, with accurate data and clean formatting.
E. Requirements:
- Bachelor's degree (business, administration, finance, architecture, interior design, construction).
- 1-2 years of work experience in project coordination, document control, executive assistance, or operations support — ideally in construction, interior design, architecture, or a project-based services firm.
- Strong Microsoft Excel skills — pivot tables, VLOOKUP, basic formulas. You'll use Excel daily for budget tracking and reporting.
- English working proficiency — able to read project documents, write status emails, and join calls with international clients.
- Highly organized and detail-oriented. You enjoy creating structure where there isn't any.
- Comfortable juggling 3-5 active projects in parallel without losing track of anything.
F. Nice to have
- Background or interest in interior design, architecture, or construction.
- Familiarity with project management tools (Asana, ClickUp, Notion, Monday) or document management systems.
- Basic understanding of construction documents (shop drawings, BoQs, quotations) — you'll handle these daily.
- Experience working with international clients or in a multinational environment.
G. Compensation & Benefits
- Salary range: 11M–15M VND/month gross. Reviewed at 6 and 12 months.
- 13th-month salary, paid before Tet.
- Mandatory insurance (BHXH, BHYT, BHTN) paid at 100% of statutory salary — no underreporting.
- 12 days annual leave plus Vietnamese public holidays.

- Clear growth path: Project Coordinator → Senior Coordinator → Quantity Surveyor or Project Management Executive, with milestones reviewed annually.
