PRIMARY JOB RESPONSIBILITIES:
We are seeking a Junior HR Analyst who supports core HR functions by executing and optimizing processes across payroll, benefits, HR systems, reporting, and analytics. This role ensures compliance, maintains data accuracy, and drives operational efficiency while enabling informed decision-making through robust analysis and reporting.
ACCOUNTABILITIES
HRIS Data Management & Payroll Operation
- Ensure accurate HRIS data setup, including department, division, pay group, and employee status.
- Support processing payroll, including update new hire/termination, validate time and attendance, uploading payroll files.
- Reconcile and maintain payroll records to ensure accuracy, compliance, and timely resolution of discrepancies.
- Review benefits enrollments and payroll deductions escalate issues as needed.
- Support Year End and Quarterly Payroll and Benefit Deduction reconciliation processes
- Provide system access setup and HRIS guidance for new hires and leavers, ensuring proper onboarding and offboarding documentation.
Leave Administration & State Program Support
- Track and update employee leave records, including state disability leave. Make sure all forms are complete, accurate, and submitted on time for HRBP review.
- Support HRBPs in handling leave communications and unemployment insurance claims, ensuring complete and accurate submissions.
Compliance & Reporting
- Maintain the state-by-state repository of required Labor law notices and ensure timely updates to leaders and staff for posting compliance.
- Check onboarding and benefits documents to make sure they are correct and follow company and legal rules.
- Prepare monthly, yearly, and other HR reports as needed.
- Support reporting requirements for external agencies, including OEWS submissions to the U.S. Bureau of Labor Statistics.
- Help the HR team by reviewing data on staff turnover and other key trends.
Onboarding & Orientation Support
- Ensure HRIS is configured to support onboarding workflows
- Track onboarding/offboarding programs and ensure new hires complete required tasks.
- Coordinate onboarding materials and communication, acting as the main contact for new hires during their onboarding period.
Human Resources
- Prepare and complete verification of employment letters and respond to vendor requests.
- Identify and support the implementation of continuous improvement initiatives in HR processes and reporting.
- Support key HR programs, including compensation reviews, open enrollment, and compliance training.
- Manage and communicate the annual HR calendar of activities, initiatives, and events.
- Support merit increase and bonus processes; prepare and distribute salary increase and bonus letters.
- Contribute to Pay Equity, Compensation & Benefits benchmarking, Salary Leveling, and External Market Analysis through data-driven insights.
- Track and process HR invoices and payments.
QUALIFICATIONS
- Bachelor's Degree required; preferred majors include Human Resources, Business Administration, or a related field
- 1-3 years HR experience in payroll processing or HR data analyst capacity
- English proficiency at advanced or intermediate level.
- Demonstrated success in data analytics and reporting using tools such as Excel, Tableau, Power BI.
- Proven ability to work independently, drive process improvement and support change management initiatives.
- U.S. payroll processing experience preferred
- Marketing and/or corporate communications experience preferred
