Description
We are looking for a detail-oriented Part-Time Invoicing Specialist to join our team. This role is responsible for the accurate preparation, issuance, and data validation of invoices, adhering to both client agreements and internal guidelines. The successful candidate will have relevant experience in finance/billing, strong analytical and communication skills, and proficiency with Excel and invoicing software.
Key Responsibilities
- Invoice Preparation & Issuance:
- Prepare and generate invoices accurately and in a timely manner based on client agreements and internal guidelines.
- Ensure all invoices comply with company standards and client-specific requirements.
- Data Validation & Accuracy:
- Cross-check and validate all data entries and charges before finalizing invoices.
- Collaborate with other departments to ensure invoicing data is complete and accurate.
- Client Communication & Support:
- Address and resolve client inquiries related to invoices promptly and professionally.
- Work closely with the account management team to clarify and adjust any client-specific invoicing requirements.
- Reconciliation & Reporting:
- Conduct regular invoice reconciliations to ensure consistency across all accounts.
- Prepare and analyze invoicing reports, identifying trends, discrepancies, and areas for process improvement.
- Compliance & Record-Keeping:
- Maintain comprehensive and organized records of all invoices, payments, and client communications.
- Ensure all invoices are compliant with relevant regulations, policies, and audit standards.
- Process Improvement:
- Identify and suggest improvements in the invoicing process to enhance efficiency and accuracy.
- Participate in team projects aimed at improving invoicing workflows and reducing errors.
Qualifications
- Bachelor's degree in Accounting, Finance, or a related field (preferred but not required).
- Relevant experience in an invoicing, billing, or finance support role.
- Proficiency in invoicing software and Microsoft Excel.
- Strong data entry skills with close attention to detail.
- English B1 - Oral and written comprehension
- Strong analytical skills and a proactive approach to problem-solving.
- Ability to work independently and as part of a team, with a high degree of accuracy and integrity.
