ROLE PURPOSE

The International Sales & Operations Coordinator serves as the primary point of contact for international clients for order processing and fulfilment. Importantly, this role acts as the on-site representative for the International Department at the Marou Head Office/Factory. You will connect the remote International team with the on-site supply chain and production teams, ensuring international orders are prioritised and issues are addressed promptly.

KEY RESPONSIBILITY:

International Order Cycle Management (The Admin Role):

  • Customer POC: Serve as the first point of contact for existing international distributors and B2B clients regarding order placement, product availability, and timeline inquiries.
  • Order Entry & ERP: Manage the end-to-end order entry in the ERP system. Convert Purchase Orders (POs) into Proforma Invoices (PIs) and Sales Orders.
  • Financial Documentation: Responsible for issuing commercial invoices, credit notes, and tracking payment status before releasing goods. Ensure all data matches for customs compliance.
  • Data Integrity: Maintain the customer database, price lists, and product specifications in the system.

Internal Coordination (The Supply Chain Link):

  • Liaise with Supply Chain: Act as the bridge between the International Commercial team and the Supply Chain Department.
  • Logistics Handover: detailed order requirements to the Logistics Supervisor (now within Supply Chain) and the Sales Support team to ensure booking of shipments aligns with customer requested delivery dates.
  • Forecast report: consolidating forecasts from the Regional Sales Manager on a monthly basis for the Supply Chain Department.
  • Inventory Allocation: Coordinate with the factory planning team to ensure stock is reserved for upcoming international orders to avoid out of stock situations for export.

Head Office Representation (The Ambassador Role):

  • On-Site Representation: Represent the Head of International at physical operational meetings in the Head Office. Report back on production updates, company policy changes, or factory issues that may impact export sales.
  • Problem Solving: Resolve on-the-ground bottlenecks immediately (e.g., packaging errors, urgent sample requests, signing hard-copy documents) without waiting for the remote International team to intervene.
  • Ownership of the International Operational Calendar: Coordinate and monitor the master schedule to ensure synchronisation between logistics (container planning) and commercial milestones (trade shows, new product launches, catalogue, and seasonal in-store activations).

MINIMUM REQUIREMENTS:

  • Bachelor's degree in Business Administration, International Trade, Finance, Accounting, Supply Chain, or a related field.
  • At least 2 years of experience in Sales Administration, Sales Support, or Sales Coordinator roles.
  • Hands-on experience with sales order processing, invoicing, and coordination with internal departments.
  • Fluent English proficiency (written and spoken).
  • Customer-service mindset with attention to detail.

PREFERABLE REQUIREMENTS:

  • Experience working in FMCG, manufacturing, trading or export-driven companies.
  • Familiarity with ERP systems and hands-on experience with CRM software and other internal systems.
  • Understanding of export procedures, customs requirements, and international logistics.
  • Proficiency in Microsoft Office, especially Excel.
  • Strong interpersonal and communication skills.
  • Proven ability to influence cross-functional stakeholders through effective negotiation to ensure international business priorities are secured and executed.
  • Ability to take ownership of operational tasks independently.

Working time: Monday - Friday

Working location: Binh Chieu Industrial Park, Thu Duc City, HCMC.
