Report: Head of HR & Facilities & Procurement
1.Job Purpose
The HR Supervisor is responsible for supporting the overall human resources and administrative functions of the company, including recruitment, employee relations, training and development, compliance with labor regulations, and coordination with government authorities. This role also supports internal company activities and administrative arrangements to ensure smooth business operations.
2.Key Responsibilities
2.1.Talent Acquisition & Onboarding
Develop and implement recruitment plans based on the company's workforce needs.
Manage the full recruitment cycle including candidate sourcing, screening, interviewing, and coordinating with departments during the hiring process.
Organize and implement onboarding programs to help new employees integrate quickly and perform effectively.
2.2.Employee Relations
Promote a transparent, collaborative, and positive working environment.
Handle employee concerns and support the resolution of workplace conflicts when necessary.
Organize internal training sessions related to company policies, performance management, and employee development.
2.3.Visa & Work Permit Administration
Manage visa, work permit, and temporary residence card processes for expatriate employees.
Ensure compliance with Vietnamese regulations related to foreign labor.
Monitor regulatory updates and maintain accurate documentation.
2.4.Training & Development
Develop and implement annual training plans aligned with organizational needs.
Organize internal training programs and employee development initiatives.
Evaluate training effectiveness and recommend improvements.
2.5.Government Relations & Compliance
Maintain working relationships with relevant government authorities including the Department of Home Affairs, Industrial Zone Management Boards, Immigration Department, Local Police Authorities, and the Tax Department.
Prepare compliance documentation and coordinate with authorities when required.
Coordinate mandatory programs such as fire safety training and drills.
2.6.Administrative Support & Company Activities
Monitor and manage budgets related to administrative activities.
Coordinate company programs such as annual health check-ups, occupational safety training, New Year Party, and other internal events.
Provide administrative support for company activities including booking hotels, flight tickets, transportation, and other travel arrangements for business trips.
Maintain and manage HR records and documentation in accordance with company policies.
2.7.HR Reporting & Analytics
Prepare periodic HR reports for management review.
Monitor HR metrics and provide insights to support management decision-making.
3. Job Requirements
Bachelor's degree in Human Resources, Business Administration, Law, or a related field.
At least 35 years of experience in HR generalist or HR supervisory roles.
Good knowledge of Vietnamese Labor Law and regulations related to foreign employees.
Experience in recruitment, employee relations, and HR administration.
Strong communication, coordination, and problem-solving skills.
Proficiency in Microsoft Office, especially Excel.
Good command of English communication (both spoken and written).
